Grata Fund is seeking an Executive Assistant to provide critical administrative and office support to a small and growing team. This is a full time role based at UNSW Law and Justice Faculty, with the flexibility to work from home a few days per week.

The ideal candidate will have previous office experience as an executive assistant, paralegal or clerk. They will have a hawk eye for detail, a passion for organisation and a deep personal belief in social justice. They will have proven organisational skills, high level computer skills and a positive attitude.

This position is a meaningful opportunity for a dedicated Executive Assistant to help Australians hold governments and corporate leaders accountable when they are unwilling or unable to act to preserve and promote human rights and democracy.

About Grata Fund

Grata Fund is Australia’s first specialist non-profit strategic litigation incubator and funder. Grata develops, funds, and builds sophisticated campaign architecture around high impact, strategic litigation brought by people and communities in Australia. We focus on communities, cases and campaigns that have the potential to break systemic gridlocks across human rights, climate action and democratic freedoms.

Grata removes the enormous financial barriers to court and supports people and communities facing injustice to integrate litigation with strategic movement-driven campaigns.

We specialise in granting recoverable adverse cost relief (guarantees) and disbursements (hard legal costs), both responsively to applications from people, communities and their legal representatives, and proactively developing litigation as well as legal education and training where there are capacity gaps in Australia’s legal community.

We do not fund legal fees, solicitors or barristers, rather all legal work is provided pro bono. Grata Fund works closely with the legal sector, campaigners and academia to develop and fund critical game-changing public interest litigation. We are supported by our generous donors and do not receive any government funding.

Job Responsibilities

This is a role based at UNSW Law and Justice in Kensington, Sydney, with remote work possible a few days per week. The Executive Assistant reports to the Executive Director and is responsible for the following:

  • Administrative Support: Domestic travel management, monitoring and responding to queries, Executive Director diary and inbox management.
  • Operations: Updating and maintaining internal databases, filing, governance administration, minute taking, event support, volunteer recruitment and pastoral care, project management.
  • Finance: Processing expenses, invoice management on XERO, working with external accountants and bookkeepers to deliver monthly / EOFY reconciliation, accurate payroll and team salary packaging.
  • Fundraising & Communications: Working with the Head of Philanthropy to assist in governance updates, supporter emails, direct mail appeals and donor relationships management. Working with the Campaigns and Communications teams to maintain Grata’s website and social media accounts as needed.
  • If you have studied / worked in law you may have the opportunity to provide occasional paralegal support: Conducting research, drafting file notes and drafting simple agreements as directed by the Executive Director or General Counsel from time to time.

Qualifications

We’re seeking a driven, organised, and responsible Executive Assistant to join our team. You might be an early career EA, or a recent university graduate with office experience. You have a positive attitude, are detail-oriented and have exceptional organisational skills.

You should have:

  • A hawk eye for detail: You’re the type of person who always spots the typo or grammatical error, never double books themselves, keeps their inbox organised, shows up on time, and always remembers everyone’s birthdays.
  • A positive attitude: You love to build efficient and reliable processes, you’ve also got a bias for producing results and a track record of thinking laterally to find solutions and persevering despite obstacles.
  • Organisational skills: You’ve got a demonstrated track record of prioritising and staying on top of multiple projects without dropping any balls, anticipating obstacles and using your time wisely.
  • Communications and computer skills: You’re a wiz at communicating complex information clearly and concisely – whether over the phone, in person or via email. You know your way around Google Drive, Google Docs, Gmail, Google Calendar, etc.
  • An interest in working alongside communities and social movements who are at the frontlines of the fight against systemic injustice.

Experience with the following are pluses but not requirements:

  • Studying or working in law and/or policy
  • Working in legal or corporate workplaces
  • Experience using Xero and Nationbuilder.

Salary

1 FTE Salary: $70,000 – $75,000 depending on experience, plus 11.5% super, salary packaging options and 6 weeks paid annual leave.

Flexible start date for training 4 December 2024, hours negotiable until the end of the year.

Grata Fund will have an end of year shutdown period 25 December 2024 – 3 January 2025.
