About the Executive Assistant role

The Executive Assistant is responsible for the provision of high-level admin and secretarial support to the CEO and Board, as well as organising meetings, minute taking, preparing reports and routine correspondence. This position also provides cross organisational support to the Executive Leadership Team in the form of the maintenance of databases and registers and the coordination of some organisational events and resources.

Provide this support with a commitment to YourCH values and the ability to quickly acquire knowledge of its services and goals. Represent YourCH in a professional manner, demonstrating a high level of integrity and client-focused attitude.

This is an identified role for a person of Aboriginal and/or Torres Strait Islander decent.

Reporting to the CEO, this is an ongoing full-time role (1 FTE).

Your Passion and Commitment will see you:

  • Provide a full range of administrative and project support services including managing CEO’s email inbox, CEO calendar filing and records managements; email, mail, maintenance of registers and routine databases and compilation of manuals and reports.
  • Provide administrative and support functions to the Board and Board Committees as required including preparation of correspondence, agenda, papers and minutes for all Board and Committee meetings as well as room bookings and catering.
  • Develop and administer appropriate office systems and procedures to ensure the efficient and effective operation of the Executive office.
  • Provide effective and appropriate information dissemination between the clients, community members, staff, Managers, Board Directors and other stakeholders as directed by the CEO.
  • In conjunction with the CEO, develop agendas for all meetings overseen by the CEO, reporting to the Board or as directed and take minutes of such meetings as required.

To succeed in this role you will have:

  • Previous experience working as an executive assistance to senior positions
  • Excellent interpersonal skills with a demonstrated ability to effectively liaise with both internal members of the organisation and external agencies
  • Well-developed oral and written communication skills including the ability to develop press releases and publication skills of a high order
  • The ability to work collaboratively with the Chief Executive Officer, the Directors, the Board, Directors and team members of YourCH to achieve organisational goals and objectives
  • Strong computer literacy skills
