Position Summary:
Creative is seeking a polished Executive Assistant to provide comprehensive support to the CEO of a fast-paced, high profile international development company. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to prioritize. The successful candidate will serve as the primary liaison between the CEO and internal/external stakeholders, while also playing a pivotal role in planning special events, coordinating board meetings, and representing the company’s creative brand. This role demands the highest levels of confidentiality, discretion, and diplomacy. Exceptional communication skills, both written and verbal, are essential, as the individual will be responsible for crafting communications coming out of the CEO’s office. This position requires a strategic thinker who can anticipate needs, manage complex schedules, and adapt to dynamic environments. Work with the Executive Team to coordinate the CEO’s outreach with clients, U.S. and foreign government officials, potential clients, partners and other development stakeholders.
This position involves substantial coordination of schedules and collating of input across a widely dispersed leadership group. The role provides support on interactions between business units and functions with external partners and vendors, and as such requires a great aptitude for solving problems and finding solutions.
The successful candidate will be able to work effectively with highly level executives, clients and the company’s Board of Directors. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment that is mission and results driven.
Reporting & Supervision:
The Executive Assistant reports directly to the President & CEO.
Responsibilities
Primary Responsibilities:– Act as a trusted advisor to the President & CEO, keeping them informed of upcoming commitments and responsibilities.
- Provide sophisticated calendar management, prioritizing inquiries, and resolving conflicts.
- Manage all incoming correspondence, phone calls, and visitors with grace and professionalism.
- Craft professional emails and letters for various events and announcements.
- Maintain an updated database of contacts and track VIP relations.
- Coordinate complex travel arrangements and manage travel itineraries.
- Prepares and manages all aspects for all meetings by booking conference rooms, distributing materials, setting up projector or video conferencing units and ensuring that all participants are confirmed.
- Track and manage expenses for the CEO’s office.
- Prepare and manage all aspects of meetings and conferences, including booking venues and distributing materials.
- Take detailed notes and distribute meeting minutes as necessary
Qualifications
Required Skills & Qualifications:
- Bachelor’s degree in business, international development, or related field.
- Minimum of ten (10) years’ experience supporting senior executives in a fast-paced environment.
- Exceptional interpersonal skills and a service-oriented approach.
- Forward looking thinker, who actively seeks opportunities and proposes solutions
- Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands,
- Highest level of customer/client service and response.
- Strong organizational skills with the ability to prioritize multiple tasks seamlessly.
- Demonstrated ability to handle confidential information with discretion and integrity.
- Advanced proficiency in Microsoft Office Suite and SharePoint.
- Fluent in English; proficiency in Spanish or French is desirable.
- Ability to work effectively in a multilingual/multicultural environment
Desired Skills:
- Considerable knowledge of and expertise in the international development industry;
- Proficiency in a second language, preferably Spanish or French
The Salary Range for this position is expected to be: $69,000 to $87,000
