Position Description

Reporting directly to the President, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant will serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the President, including those of a highly confidential or critical nature. This dynamic position requires the ability to anticipate needs, navigate ambiguity to prioritize effectively, and determine the appropriate course of action, referral, or response, while exercising judgment to reflect the President’s style and organizational policy. This position consists of approximately 70% Executive Assistant, and 30% Personal Assistant responsibilities. 

This is an exciting opportunity to work closely with WCI’s Founder and President, a five time Emmy Award winning broadcast journalist of 25 years with NBC; before serving as a member of the U.S. House of Representatives from 1993 to 1995, representing Pennsylvania’s 13th congressional district. In addition to being the active President of WCI, she is an adjunct professor at the University of Pennsylvania and is the author of five books. 

 

Role and Responsibilities

  • Calendar Management –  Manage the President’s calendar, prioritizing inquiries and requests in alignment with organization’s defined objectives; make judgements and recommendations to ensure smooth day-to-day engagements. Coordinate in-person and virtual meetings, manage event RSVPs, and coordinate travel arrangements. 
  • Act as the “Gate Keeper” – Act as the bridge between the President and both internal and external stakeholders while demonstrating professionalism and diplomacy. 
  • Maintain Documents & Record Keeping – Maintain contact information for all relevant personnel and key contacts.  
  • Email Management – Manage the President’s email inbox by clearing, sorting, and addressing messages promptly and in accordance with the President’s style of communication. 
  • Engagement Management – Work with the Executive Team to coordinate outreach activities and engagements for the President to attend, in line with development objectives. Follow up with in-bound requests accordingly. 
  • Maintain Communication – Maintain open communication with WCI team, holding regular meetings with the Director of Business Operations & Strategic Development and the Senior Director of Global Programs & Partnerships to facilitate the circulation of information to ensure team alignment. 
  • Assist with special projects as needed. 
  • Personal Assistant Responsibilities – Assist the President with managing personal appointments and correspondence, addressing important mail, and coordinating teaching and speaking commitments within the University of Pennsylvania. 

Qualifications

  • Bachelor’s degree required. 
  • Passion for WCI’s mission to advance gender equality by equipping women with the tools they need to transform their lives and their communities. 
  • Keen interest in political affairs and diplomacy, given the nature of the President’s background and active network.
  • Excellent verbal and written communication skills. 
  • Excellent organizational skills and attention to detail. 
  • Ability to exercise discretion in managing sensitive materials and confidential information.
  • Resourceful and proactive with excellent problem solving skills.
  • Flexible and able to quickly adapt to changing needs and priorities. 
  • Strong interpersonal skills and is team-oriented. 
  • Proficient in Google Workspace and tech savvy.
  • High degree of professionalism in dealing with diverse groups of people. 

 

Compensation
