The Rivers Trust is a leading environmental charity and the umbrella body of The Rivers
Trust movement, comprising over 65 independent local charities. Our vision is for wild,
healthy, natural rivers, valued by all. We are at a critical point in our history as we expand
to deliver projects to protect and replenish this critical part of the natural environment, and
our research and expertise is now needed more urgently than ever as water supply and quality
move up the public agenda.

We are looking for an Executive Assistant to report to our CEO Mark Lloyd and to provide highly
effective business and administrative support to him, our Board and other senior groups. This
is a pivotal role at a time of rapid growth, delivering a range of activities including diary
management, scheduling and co-ordinating meetings, minute-taking and managing communications.

We are looking for a highly organised person with experience of delivering business support,
interacting with a wide range of people both internally and externally, and who can handle
multiple tasks simultaneously. A good working knowledge of the main Microsoft packages,
including Sharepoint, and the ability to work independently are also essential.

This is a part-time, home-based role, 20 hours per week to be worked over five
days,
with scope to work flexible hours. You could be based anywhere in England or
Wales (though the ability to travel nationwide for meetings and events, predominantly in the
London area about 6 times a year is necessary, with time off in lieu also available for such
events.)

The salary for the role is £37,178 pro rata. 

The job responsibilities are:

  • Scheduling and producing agendas, minutes, and follow-up actions for a range of meetings,
    including the Board, Senior Management Team, Business Audit & Risk Committees and the
    Annual General Meeting.
  • Providing business support to the Chief Executive Officer as required with meeting and
    travel arrangements, actions arising and correspondence, including diary management.
  • Ensuring all necessary policy documentation is maintained and regularly reviewed, with the
    support of the Trustees and the Senior Management Team (e.g. health & safety, GDPR,
    safeguarding) and if appropriate disseminated to member Rivers Trusts.
  • Supporting the organisation of events including the AGM, All Staff Event and Fundraising
    events.
  • Ensuring all annual returns relating to Governance (e.g. Companies House, the Charities
    Commission etc.) are made in a timely fashion and maintaining a corporate calendar for the
    board and SMT.

You will expected to follow all Rivers Trust policies, including GDPR, EDI and Health &
Safety and contribute to an inclusive and respectful working culture.

Essential

  • Good working knowledge of Microsoft packages (Word, Teams, Sharepoint in particular) 
  • Experience of working from home
  • Experience of working in a rapidly-growing organisation
  • Experience of providing administrative support to a range of colleagues
  • Highly-organised with an eye for detail, handling multiple tasks
  • Clear and accurate minute-taking
  • Interacting with a wide range of departments
  • Handling confidential information
  • Maintaining and improving administrative systems
  • Communication skills
  • Flexibility to work 20 hours a week over 5 days
  • Flexibility to deal with peaks of work quarterly when board meetings are held.
  • Ability to travel to meetings and events nationally approximately five or six times a year.
  • Pro-active with ability to anticipate business needs
  • Understanding of equity, diversity and inclusion

Desirable

  • Experience of supporting the organisation and administration of board meetings in a
    not-for-profit sector role.
  • Experience of organising events
