Danish Refugee Council (DRC) is a leading protection agency with a mandate to protect, advocate and promote durable solutions for displacement affected populations.

DRC has been operating in Ukraine since 2014, currently DRC employs over 500 staff in Ukraine and will continue significant scale-up in 2023 to implement emergency response in the Protection, Economic Recovery, Shelter/NFIs and Humanitarian Disarmament and Peacebuilding (humanitarian mine action) sectors, using direct interventions, support to duty bearers and civil society organizations (CSOs), and partnerships with CSOs. DRC will continue and adapt its durable solutions portfolio to the evolving context.

DRC is currently looking for an Executive Assistant to the Country Director to join the team in Kyiv, with regular travel to DRCs field bases.

This position will report to the Country Director.

About the job

The EA is responsible for and gives support to and advises on leadership communication to the Country Director towards the organization in Ukraine and coordinates and gives management and administrative support to the CD. The EA is the go-to person for the organization on leadership communication and administrative tasks handled by the Country Director’s office.

Your main responsibilities will be:

  • Advise and support to the CD on leadership communication and management of the CD SharePoint site.
  • Prepare presentations and collect talking points in corporation with colleagues in the organization and in coordination with the Advoacy Coordinator, supporting the CD in advocacy.
  • Prepare meetings of the Senior Management Team, including agendas, presentations, decision-making documents, minutes, follow-up on action points, and document and communicate decisions.
  • Elaborate agendas for the biweekly Kyiv staff meeting and coordinate input for the presentations at the meetings.
  • Support with the preparation of the annual Periodic Review.
  • Support the CD with travel arrangements and related documentation.
  • Interpret from English into Ukrainian and ice versa for the Country Director during official meetings.
  • Translate key e-mails from the Country Director to DRC staff into Ukrainian.

About you

To be successful in this role we expect you to have at least 2 years experience (including internships) in working in an (I)NGO or international company. We do not expect previous experience as an executive assistant but require the candidate to be eager to learn quickly and find “outside the box solutions.”

Required:

  • A relevant degree. Preferably you have a university degree, but it is not an absolute requirement.
  • Experience from working in a large, global organisation or company (2 years).
  • Expertise in working with leadership communication, leadership presentations and speech writing preferred.
  • Very strong writing skills in English and Ukrainian.
  • Excellent analytical and organisational skills, and an ability to maintain overview.
  • Strong interpersonal skills and a proactive, service-minded and flexible attitude.
  • Advanced IT and technical know-how in Office 365 and other platforms of communication.
  • Experience with intranet (preferable Microsoft SharePoint) (1+ years).
  • Willingness to travel extensively all over Ukraine.

We offer:

  • Contract length: after three months of probation period an open ended contract.
  • Band: I non-management.
  • Designation of Duty Station: Kyiv.
  • Start date: ASAP.

Salary and conditions will be in accordance with Danish Refugee Council’s Terms of Employment for National Employees.
