Assist the Executive Director by carrying out organizational, coordination, documentation, management, administration, and internal and external communication functions. The Executive Director’s Assistant also works with the organization’s management group to contribute to the optimal functioning of the Executive Directorate.
Main Responsibilities:
Executive Management Assistance:
- Coordinate strategic meetings of the Board: prepare the call, agenda, participants, minutes and follow-up of agreements.
- Coordinate work meetings with the global office and follow up on agreements.
- Coordinate various administrative aspects such as document signing processes, personnel matters, travel, expense accounts and the correct functioning of the office in general.
- Coordinate meetings of the Executive Directorate with different external audiences to meet the commitments of the work agenda.
- Coordination of programmatic strategic planning processes in conjunction with the MEL Specialist.
- Attend to and follow up on strategic projects and executive management requirements.
- Preparation of documents and presentations in both Spanish and English.
- Preparation of budget for the executive office and management of costs within that budget.
Board of Directors:
- Direct monitoring and support to the presidency of the council
- Organization and coordination of work sessions between the board members and the WRI Mexico management team.
- Activation of the council’s work groups.
- Conducting council meetings, minutes and drafting.
- Communication with advisors on institutional issues and programmatic progress.
- Reactivation and monitoring of the programmatic councils: Forests, Climate, Energy and Cities.
- Monitoring and preparation of contributions by WRI Mexico to the council
Requirements:
Education:
- Bachelor’s degree in Political Science, International Relations, Public Relations or similar.
- Postgraduate degree or master’s degree in a related field desirable.
Experience:
- Minimum 5 years of experience assisting management teams, coordinating agendas and high-level events.
