Position Summary:
Reporting to the Associate Vice President of Development &
Alumni Relations (DAR), the Executive Director of Operations and
Analytics provides strategic and operational leadership in
maintaining and optimizing the overall information and technology
infrastructure that drives NJIT’s constituent engagement and
fundraising program. This position is responsible for overseeing
DAR’s constituent database/CRM, the processing and recording of
gifts, the integrity and security of constituent and fundraising
data, the development and dissemination of reports, the automation
of processes, technology, and business intelligence (BI)/data
warehousing solutions, the integration of DAR and other university
information and technology systems, the identification and adoption
of innovative technologies, and the development and use of
descriptive, predictive, and prescriptive analytics. The Executive
Director of Operations and Analytics works closely with colleagues
in DAR, Finance, Information Systems, and other divisions at the
university, and serves as DAR’s primary liaison to the Finance and
Information Systems & Technology areas.
Essential Functions:
1. Leadership and Strategy:
- Establishes long-term and annual strategic priorities for the
Operations and Analytics department; leads and monitors progress
toward goals; develops detailed project work plans, timelines, and
budgets; maintains project assignments; and monitors workloads and
resources to meet project requirements. - Provides dedicated leadership and management to a team of
Operations and Analytics professionals, with a focus on goal
setting, performance management, and staff professional
development. - Champions a culture within DAR that is grounded in data,
crafting strategic analytics tools, including reports and
dashboards, to assist management in decision-making processes;
spearheads various reporting efforts to help NJIT leadership make
data-informed decisions. - Guides the development of IT solutions in collaboration with
the university’s Information Systems & Technology (IST)
division to streamline internal processes and fulfill diverse
campus needs. - Supervises the analytics team, fostering its growth;
collaborates with key IST leadership for strategic planning around
DAR’s IT systems and data protection. - Streamlines transaction processing and reporting, optimizing
the use of technology and resources. - Develops, prepares, and presents detailed reports to university
leadership and board committees.2. Data Management, Analytics, Process Automation &
Integration: - Manages the integration of external data sources and API feeds
into the university’s analytical data repository. - Leads and manages analytics reporting and fulfillment in
collaboration with DAR colleagues to prioritize departmental
engagement and fundraising analytics needs. - Implements rigorous standards for data handling and privacy,
ensuring the Operations and Analytics team adheres to modern
privacy guidelines. - Manages the data management team, guaranteeing timely and
compliant recording of charitable donations for optimal record
reliability. - Implements innovative process automation for optimal efficiency
of gift and record management. - Evaluates and implements essential enterprise tools related to
donor engagement, analytics, and gift management. - Regularly assesses the efficiency and relevance of support
services. - Manages the development and maintenance of a catalogue of
strategic BI reports for the DAR division. - Maintains proficiency in data warehousing, BI Tools, SQL,
Python scripting, and VBA.3. Team Culture & Collaboration:
- Encourages an ethos of service within the Operations and
Analytics departments. - Stays updated with the latest in the field, participating in
workshops, training sessions, and educational programs. - Advocates for a workplace that values diversity, collaboration,
and continuous improvement. - Collaborates seamlessly with the Finance division, optimizing
and automating financial processes and supporting yearly
audits. - Handles other tasks as needed.
Prerequisite Qualifications:
- Master’s degree in business administration or analytics with a
dedication to continuous professional development. - A minimum of 10 years in fundraising operations and analytics,
with at least seven of those in an advanced leadership
role. - Proven leadership acumen in a dynamic setting with diverse
perspectives. - Demonstrated expertise in leveraging data and technology
systems to bolster extensive advancement initiatives. - Proficiency in CRM/relational database management and data
analytics to elevate engagement and fundraising
outcomes. - Proficiency with data extraction, transformation, and loading
(ETL) and data migration experience (using tools like Excel,
Workato, Import-O-matic, BBNC, Luminate Online, MS Power
Platform/Power Automate). - Familiarity with industry standards in data handling and
reporting, with at least 3 years of experience using Business
Intelligence tools (e.g., PowerBI, Tableau, and
MicroStrategy). - Comprehensive knowledge of gift accounting standards from
organizations like the IRS, VSE, and CASE. - Must be comfortable with technology and constituent engagement
and fundraising processes and concepts, and able to communicate
with staff in both areas. - Familiarity with data mining tools and technologies and/or
statistical packages such as SPSS or SAS; knowledge of basic
statistical concepts and techniques. - Proven track record of leading high-achieving teams in
demanding environments, preferably in academia or non-profit
fundraising. - Outstanding communication abilities, both written and
verbal. - Demonstrated ability to engage constructively with colleagues
and stakeholders at various levels. - At the university’s discretion, the education and experience
prerequisites may be exempted where the candidate can demonstrate
to the satisfaction of the university, an equivalent combination of
education and experience specifically preparing the candidate for
