The NORTH Foundation is the fundraising partner of the Northern Sydney Local Health District including Royal North Shore Hospital, Ryde Hospital, Hornsby Ku-ring-gai Hospital and the Kolling Institute.

About the role

The newly established role of Executive Officer is a versatile role that includes high level administrative duties, executive support, and leadership across multiple projects. This fast paced and exciting position is crucial for the smooth functioning of the NORTH Foundation.
The role will provide comprehensive support to the Chief Executive Officer and the leadership team and will oversee the administration of major projects, campaigns and initiatives throughout the year, including donor stewardship events, philanthropy training for clinicians, and significant capacity and capital fundraising campaigns.

The ideal candidate will be a highly skilled administrative professional with exceptional project management and organisational abilities.

Key Responsibilities

  • Offer executive support to the CEO by scheduling meetings, managing correspondence, and preparing minutes and reports
  • Assist the leadership team with administrative duties and provide project management support across multiple high level, complex projects with varying timeframes and deadlines
  • Manage communication between the CEO, leadership team, and other staff members ensuring effective diary management and planning
  • Oversee the onboarding process for new staff, ensuring a seamless transition into the organisation
  • Administration of major projects, campaigns and initiatives to include the planning and implementation of donor stewardship events, philanthropy training programs for clinicians and the administration of major capacity and capital campaigns
  • Project management tasks to include scheduling, material preparation, tracking progress, preparing reports, and coordinating with internal and external stakeholders
  • Provide ongoing assistance to the fundraising and marketing teams, assisting in crafting fundraising materials, proposals, presentations, and reports
  • Ensure that all information related to projects is accurately recorded on the CRM
  • Manage and organise files, records, and documents efficiently and provide ideas for new processes and systems to ensure that the organisation runs smoothly and effectively
  • Offer assistance for board meetings, including material preparation and minute-taking
  • Be proactive in offering new ways of working to the organisation that will drive efficiency and effectiveness across day-to-day operations

Skills and Experience

  • Strong experience working in a high-level administrative capacity, ideally (but not essential) within a philanthropic or non-profit setting
  • A background in supporting executive level stakeholders with experience in diary management, communication management and board work
  • Strong project management abilities with experience in administering complex projects and reporting back on progress
  • An understanding of budget and reporting needs across projects
  • Outstanding organisational and multitasking abilities with the ability to work across multi priorities with a range of deadlines and timeframes
  • Excellent written and verbal communication skills with experience liaising with multiple stakeholders
  • Proficiency in database use and Microsoft office suite, including Excel, Microsoft 365 and Microsoft SharePoint
  • Demonstrates a high level of professionalism and discretion, a positive attitude, and a proactive work approach
  • Strong problem-solving capabilities with a proactive manner and proficient in driving results in a fast-paced, dynamic team environment
  • A high level of attention to detail and accuracy, a “can-do” attitude with the capability to work autonomously and collaboratively within a team
  • An enthusiasm for fundraising and philanthropy with a desire to work for an impactful not for profit
