About the Role

This is a dynamic and pivotal role that provides secretariat and administrative support to the CEO.

The role is critical in ensuring a high degree of professional co-ordination and support to the CEO, executives and to the operational committees. The Executive Officer must be able to work under pressure, at times, to handle a wide variety of activities including confidential matters with discretion. The position is part time 16 hours per week. Hours can be worked within business hours Monday – Tuesday over two days per week by mutual agreement with the CEO.

The key roles and tasks are, but not limited to:

  • In the absence of the Executive Administrator, coordinate the daily business of the CEO by managing appointments and organising meetings.
  • Coordination, preparation, and distribution of agendas, papers, and minutes for various meetings and operational committee meetings.
  • Assist CEO with Special Projects from time to time.
  • Preparation of confidential correspondence on behalf of the CEO and executive.
  • Arrangement of travel itineraries for the executives as requested.
  • Cover the role of the Executive Administrator from time to time. This may require some out of hours work.
  • Assist with freedom of information requests.

Essential skills and attributes (selection criteria) The successful applicant will demonstrate:

  • Highly developed written and verbal communication skills, including the ability to produce a broad range of quality written material for a variety of audiences.
  • Exceptional accuracy and attention to detail and an ability to work autonomously.
  • Highly developed organisational skills, including the ability to set priorities and complete tasks to deadlines.
  • Demonstrated ability to maintain confidentiality.
  • Advanced PC and document control knowledge and experience.
  • Experience in corporate governance including preparation of Board agendas, papers and minutes and knowledge of relevant legislation, policy requirements and processes.
  • Proven engagement, collaboration, and negotiation skills, with the capability to build and maintain relationships with Board members, management, staff and stakeholders.
  • A NDIS Screening check will be required prior to employment and then every five years.
