Position Title | EXECUTIVE SECRETARY |
Position Summary | Duties performed are of a complex and varied secretarial/administrative support nature. This is the most senior level secretarial role, and while it incorporates elements of other levels, it has a majority of effort associated with more complex secretarial support services related to Nursing Program activities. The level of independence at this level has a high degree of autonomy/responsibility for complex duties that may be broad and varied or narrow but focused. This position is responsible for assisting with budgetary duties for the Nursing programs in the School of Rehabilitation and Medical Science, as well as monitoring and maintaining Nursing program applications, waitlists, registration requests, independent study courses, and grade records. This position uses SAP and other databases required for assisting in program management. |
Required Qualifications | High school diploma or GED. Four years of qualifying experience or a combination of education and experience that equates to four years. Experience with Microsoft Word. Customer service experience. Spreadsheet and/or database experience. Organizational skills with strong attention to detail. Demonstrated positive interpersonal skills. Effective verbal and written communication skills. Ability to project a positive attitude. Ability to manage multiple projects and meet deadlines with accurate results. Ability to compose, proofread and edit correspondence. Ability to perform the essential functions of the position with or without reasonable accommodation. |
Preferred Qualifications | Bachelor’s Degree. Educational background in healthcare. Evidence of successful past experiences or education with simulation technology or health care compliance. Demonstrated skill in technological literacy, communication, organization, collaboration, and problem solving. Ability to work collaboratively with stakeholders at CMU and with clinical partners. |
Duties & Responsibilities | Monitors credit cards, grant activity, payroll and overloads, and professional development spending and other budget updates using SAP. Maintains Nursing program applications progress in conjunction with Admissions and CMU Innovation & Online. Organizes and arranges weekend seminars, orientations, comprehensive examinations, and award/graduation functions. Maintains waitlists, registration exception requests, independent study courses, and incomplete and deferred grade records. Maintains official document files, scholarship awards and funds, and committee memberships. Maintains Nursing information related to promotional aspects, and the program directors’ calendars as needed. Creates and maintains files related to program management in Outlook and on the S-Drive. Assists the other School of Rehabilitation and Medical Science clerical staff with the coverage of the office professional duties. Provides daily support within the skills and simulation laboratories. Collaborates with clinical placement sites. Maintains confidential records for health requirements for clinical placements. Answers emails, phone calls and greets people to the division, directs them as appropriate. Sets appointments, crafts and replies to correspondences. Takes minutes at division and program meetings. Completes various academic forms including but not limited to travel requests, release summary reports, clinical site requests, and affiliation agreements, and directs them to the appropriate individuals and offices. Distributes mail. Orders office and laboratory supplies. Schedules courses with the Registrar’s office and helps with catalog copy. Coordinates assessment and evaluation, grading and academic record keeping. Assists with budget records and resource allocation. Updates handbooks and course plans. Assists Nursing Director and faculty members in the execution of their secretarial duties. Assists in maintenance of records. Other duties as assigned. |
