Main purpose of job:

The British Embassy Bangkok is a large diplomatic mission of around 150 staff delivering a dynamic and rapidly expanding programme of activity in support of the UK’s objectives including on economic and sustainable development, trade, security, open societies, consular services and law enforcement. This is an exciting opportunity to join our diverse mission.

In this role you will provide administrative and programme support to the UK’s Permanent Representative to ESCAP and Southeast Asia Regional Director for Health. This may include undertaking basic policy and contextual analysis, building your understanding and networks within assigned policy areas, and using these to inform UK policy positions and advocacy, event management and programme management. You will leverage your organisational and relationship building skills to maximise the impact of the team’s work across our multilateral, and regional goals. You will also work closely with colleagues from across FCDO, His Majesty’s Government, other Embassies and the United Nations.

As a key team Member of the UK’s Permanent Mission to ESCAP, you will represent the Embassy at key events and ensure timely communications with ESCAP’s Secretariat. You will act as secretariat for the Southeast Asia Health Network and support the recently launched ASEAN-UK Health Security Partnership Programme programme team (HSP is a five-year initiative aimed at strengthening Southeast-Asia’s capacity to prevent, detect and respond to health threats), as well as other small regional programmes.

Roles and responsibilities / what will the jobholder be expected to achieve:

In this role you will provide administrative and programme support to our Permanent Representative to ESCAP and SEA Regional Director for Health, as well as the wider Economic and Sustainable Development Section.

Administration (40%)

  • Provide administrative support as required, including with note verbales, travel bookings, managing and scheduling meetings and events, Embassy visitors and guests, and the induction of new team members.
  • Request, collate and submit budget forecasting for travel, business hospitality and events.
  • Input to Communications Team on internal and external communications.
  • Support arrangements for inward visits by UK officials.
  • Work as a team with the other ESD support officer to provide resilience during busy periods and provide cover for each other when on leave.

Events (25%)

  • Support and lead on delivery of events, including all logistics, particularly side events during UN Committees. Work with regional and thematic leads to design and deliver events/activities that maximise our influence and impact, responding to current challenges and utilising technologies to reach our audiences, whilst providing good Value for Money.
  • Build contacts with external stakeholders to facilitate visits and engagements.

Programme Management Support (25%)

  • Provide project administration and management support for the delivery of UK’s sustainable development projects and programmes including timely procurement and payment process and engaging with programme delivery partners on timely and accurate reporting.
  • Regularly monitor programme delivery, reporting back to the Embassy Programme Board and central departments.
  • Assist in the organisation of programme activities. Maintain networks as relevant to assist in evaluating programmes.
  • As with all UK programmes, follow project management principles in line with FCDO’s Programme Operating Framework including to identify and mitigate risks.
  • Be the go-to person on programme management and procurement queries within the wider economic and social development section.

Other (10%)

In times of peak operation demand, work flexibly within the Section and within the Embassy. All staff will be expected to make a corporate contribution to the smooth running of the British Embassy, either through a committee membership or another voluntary role.

Working patterns:

This is a full time role – 36 hours/week, Monday to Friday.

We are currently operating a hybrid working pattern with at least 60% of the time being spent in the office.

The Embassy has a smarter working policy and is committed to offering flexible working patterns balanced with the operational requirements of the role. In crisis/emergency situations you may need to work as required to support the Embassy response, sometimes on a shift pattern, which may result in unsociable hours and/or weekend working.
