BACKGROUND

People in Need (PIN) is an international, non-profit organization providing humanitarian and development assistance in over 20 countries worldwide. Formed in 1992 in the Czech Republic, PIN has grown to be the biggest organisation of its kind in post-communist Europe, providing relief where it is needed, and empowering civil society at home and abroad.

PIN began its work in Iraq in 2003, focusing on the reconstruction and renovation of schools and health centres. After a short break, PIN decided to re-establish its presence in the country in January 2015, mainly in response to the deteriorating humanitarian situation in the country and the massive displacement of people from conflict-affected areas. Since then, PIN has maintained a strong presence in Iraq. Apart from humanitarian aid, PIN is currently working on long-term programmes supporting restoring livelihoods, education, climate change, and civil society & good governance programming (CSIG).

 

Position summary

The Field Assistant will support the Consortium Coordinator in the execution of project activities focusing on strengthening the capacities of youth-led and women-led civil society organizations in Kurdistan Region of Iraq. The Field Assistant will ensure smooth communication between all relevant parties, perform administrative and operational functions, support arrangements of the activities (organizing trainings, workshops, consortium meetings, …), and program activities monitoring and visibility.

 

RESPONSIBILITIES:

Project support

  • Supports the Consortium Coordinator by performing project-related, administrative, and organizational tasks,
  • Carries out administrative duties related to the project’s implementation in timely manner,
  • Based on the developed methodology, supports the mapping of successful and effective methods, approaches and initiatives to overcome barriers to youth participation in peace dialogue,
  • Assists in the creation of presentations and other project-related materials (in line with the Visibility plan),
  • Contributes to the development of project plans, events, activities, and schedules, ensuring all participants are invited and well-informed in timely manner,
  • Assists in monitoring and evaluation activities based on the Project internally developed monitoring tools and prepare monitoring reports for learning purposes. Participates in all project-related activities and tracks progress toward milestones, Documents, MoVs and stores correspondence, documents, and other information in the SharePoint and ELO,
  • Translates project-related documents (English to Kurdish/Arabic and vice versa),
  • Works closely with the Consortium Coordinator to ensure productivity and passes critical information for decision-making,
  • With Consortium Coordinator, collaborates with the organization’s Finance, Procurement, Logistic and Admin teams to address any issues or concerns,
  • Responsible for facilitating trainings on COC and CFRM and act as a Project CFRM focal point,
  • Performs other related tasks as assigned

 

GENERAL EMPLOYEES OBLIGATIONS AND RESPONSIBILITIES

  • The Employer stipulates the right to assign the Employee any other kind of work derived from his specialization. In case of urgent work and the like, the Employee may be asked to work overtime as well as during public and other holidays.

  • Adhering to all PIN policies and procedures at all times, including those stipulated in the Code of Conduct, National Staff Handbook, Security Standard Operating procedures, etc.

  • Punctual attendance to work, including both working hours in the assigned office and scheduling field trips if applicable

  • Ensuring timely and effective delivery of tasks

  • Correctness and completeness of given tasks

  • The Employee takes over the responsibility for all entrusted material or cash. The Employee is obligated to cover all damages or losses caused by his carelessness. The Agreement of Liability of Assets has been signed separately.

  • Prompt provision of all relevant information to their supervisor

  • Maintain confidentiality of all information gained from employment that is not publicly available

  • Archiving of all entrusted and acquired documents in a proper manner

  • Representing and upholding the values of People in Need at all times

  • Behave in appropriate manners at all times and in all places

 

 

Qualifications & Preferred Skills

PERSONAL QUALITIES

  • Minimum Bachelor’s degree in development or related field (e.g. social sciences),

  • Proven experience in monitoring project activities and communicating with local stakeholders and CSOs.

  • Experience in coordination and follow-up with multiple stakeholders and partners.

  • Cultural sensitivity and experience working with diverse and grassroots communities.

  • Flexibility, dedication, and result-driven,

  • Good communication and presentation skills, and the capacity to work under pressure,

  • Good command of the MS Office package (Word, Excel, ppt, Outlook, SharePoint),

  • Fluent in English, Arabic, and Kurdish (Badini preferred), both spoken and written, to support reporting inputs and coordination.
