Description

Nonviolent Peaceforce (NP) is a dynamic, international non-governmental organization. We work to reduce and prevent violence, protect civilians and build peace together with communities in countries affected by violent conflict and its aftermath through the implementation of unarmed civilian protection programming. NP implements programming through the deployment of civilian protection teams to the field and is continuing to scale up to meet the growing needs in the communities we serve. Programming is founded on Unarmed Civilian Protection (UCP) and is thematically focused on, interrupting cycles of violence, building trust and peaceful co-existence among divided communities and women inclusion and participation.

 

Job Summary:

 

The objective of this position is to provide operational support to the field teams under the direction of the Team Leader. This includes logistical, administrative, finance, and security monitoring support. The FPO provides administrative support to the team and is tasked with ensuring the Field Office and assets are equipped, maintained, and secured. As with all field staff, the FPO will contribute information regarding security and general context updates. All NP staff are expected to embody UCP guiding principles of:

Key Responsibilities:

 

Procurement:

  • Lead on raising procurement requests in the field site with the Operations Department by procurement policy and guidelines
  • Produce Purchase requests (PR) based on needs and requests from the field site.
  • Collecting quotations and offers from potential suppliers after coordination with Operation Department (Logistics)
  • Archive carefully procurement documentation and transport it regularly to the main office.
  • Ensure invoices and bills from field offices comply with NP guidelines.

 

Maintenance of field office & Guesthouse

 

  • Lead the maintenance and provide solutions when the guest house needs them.
  • Led and checking the field site generator and the solar panels, providing regular updates, and communicating with the Operations Department.
  • Daily check-up for the Generator and providing the Generator logbook to the operation department every month with the requirement details.

 

Finance:

  • Lead on managing the field cash and carry out cash count, with oversight by the Team Leader, daily, weekly and monthly
  • Fill the finance field cashbook on a regular basis and ensure the proper management of receipts and overall support documentation such as approvals, PRs, goods receiving notes, contracts, invoices;
  • Support the Finance Department by providing the necessary documentation in accordance with compliance requirements, and as needed for auditing purposes or else.

 

Assets:

  • Under oversight by the Team Leader, manage assets in the field site, including equipment and materials;
  • Ensure that inventory list is updated regularly and is communicated to the Operations Department.

 

Fleet:

  • In coordination with the Team Leader and based on programmatic plan, lead on the organizing of vehicle movements, using up-to-date security information;
  • Oversee vehicle maintenance in the field offices including ensuring that all vehicles have: spare tires, first aid kits, emergency tool kits, emergency contact numbers, and copies of access letters;
  • Organize the rotation and allocation of drivers for movements.
  • Ensuring scheduled and completed standard vehicle services, including daily and weekly checks.
  • Following NPIQ safety and security guidelines for drivers, transportation, and tracking.
  • Ensure vehicles are in good working condition through frequent, high-quality maintenance to prevent damage caused by reckless driving. With the coordination of Country office Fleet Officer.
  • Tracking and archiving all the paper works which is related to the Vehicels( Logbook, daily routine checkup, Vehicles asset form…ETc) and sharing with the country office Fleet officer monthly basis

 

HR:

  • Support the Team Leader with the functional management of the support staff including performance reviews, coordination of functional responsibilities and tasks, under the overall administrative line management of the Team Leader;
  • Liaise between HR department and field staff for submissions of timesheets and payslips;
  • Guide support staff through their leave planning as needed, including usage of BambooHR platform.

 

Administrative Support:

  • Support the Team Leader in the day-to-day running of the field office and proactively improve the office environment, including by suggesting changes and adjustments;
  • Oversee the functioning, maintenance and upgrading of the field office;
  • Ensure caretaker(s) and guards have all the necessary tools and working conditions to smoothly implement cleaning and maintenance services in the field;
  • Compile the Guards Monthly Work Shift Schedule ensuring equitable distribution of labour.

 

Security Management Support:

  • Support the Team Leader in security management of the field project, and be pro-active in highlighting safety and security risks relating to project implementation;
  • Run routinely inspection of the field office to ensure they meet security standards and protocols;
  • Keep track of, and report, security incidents affecting the area of coverage of the field team.

 

Other:

  • Perform any other work duties upon need as assigned by the Team leader.

 

 

Qualifications & Preferred Skills

Qualifications:

Education, Knowledge and Experience

  • 1-3 years’ experience in logistics, procurement and finance working with NGOs/INGOs;
  • Bachelor’s degree in business administration, finance, or a related field;
  • Demonstrated relevant experience working in complex security environments.

Technical skills

  • Proficiency with the Microsoft Office suite essential;
  • Strong English language abilities (both verbal and written) are preferred;
  • Ability to conduct technical assessments as required.

Management Support

  • Ability to structure workplans;
  • Ability to manage conflict and maximize human resources.

Independent judgement and organizational

  • Excellent organization and administrative skills;
  • A proactive and positive problem-solving approach and able to take initiative
  • Flexibility and adaptability.
  • Deep commitment to nonviolent community led initiatives

Interpersonal

  • Ability to work in a multi-cultural environment, with different cultural norms;
  • Ability to communicate effectively;

Other Requirements

  • This position is open to nationals of Iraq only;
  • Local relationships and knowledge of the field location are required;
  • Willingness to support field staff as required.
