Job Summary
The Finance & Admin Officer will manage financial and administrative tasks for the “Sustainable Climate Dialogues: Empowering Women for a Resilient Future” project. Reporting to the Director of Operations & Finance, key duties include overseeing budgets, financial reporting, payments, procurement, and project documentation. The officer will also assist with HR functions such as recruitment, timesheet management, and payroll processing. The role requires collaboration with project teams, partners, and service providers to ensure smooth operations and donor compliance. The ideal candidate will have experience in finance and administration, particularly in development or humanitarian projects.
Key Responsibilities:
Finance Management:
· Manage the financial aspects of the “Sustainable Climate Dialogues: Empowering Women for a Resilient Future” project, ensuring compliance with organizational and donor requirements.
· Prepare and maintain accurate financial records, including budgets, expense reports, and financial forecasts.
· Monitor project expenditures and ensure adherence to the approved budget.
· Process payments for project activities, including vendor invoices, staff reimbursements, and partner agreements.
· Support the preparation of financial reports for internal use and donor submissions.
· Coordinate with the finance department to ensure timely audits and reviews.
Administrative Support:
· Oversee day-to-day administrative tasks, including procurement, inventory management, and travel arrangements for project staff.
· Maintain organized records of project documents, contracts, and correspondence.
· Ensure compliance with organizational policies and procedures for procurement and administration.
· Support the organization of project events, workshops, and meetings, including logistical arrangements and documentation.
Human Resources Support:
· Assist in the recruitment process for project staff, including preparing job descriptions, posting vacancies, and coordinating interviews.
· Maintain accurate records of employee timesheets, contracts, and leave balances.
· Support payroll processing by providing accurate and timely information to the HR department.
Coordination and Communication:
· Collaborate with the Project Coordinator and field teams to ensure efficient financial and administrative support.
· Liaise with vendors, partners, and service providers to ensure timely delivery of goods and services.
· Provide financial and administrative guidance to project staff as needed.
Qualifications and Skills:
· Bachelor’s degree in Finance, Accounting, Business Administration, or related fields.
· At least 3 years of experience in finance and administrative roles, preferably in development or humanitarian projects.
· Strong knowledge of financial management, budgeting, and reporting.
· Familiarity with donor compliance requirements, particularly for environmental and women’s empowerment projects, is an asset.
· Excellent organizational and multitasking abilities.
· Proficiency in accounting software (e.g., QuickBooks) and Microsoft Office Suite.
· Strong communication skills, with fluency in [local language] and English (written and spoken).
· High level of integrity and ability to handle sensitive financial information.
