ICTJ is seeking qualified applicants for the position of Finance and Administration Assistant – MENA. The Finance and Administration Assistant reports directly to the Finance Officer – MENA Programs. This position is based in Beirut Lebanon. Selected candidates must have legal authorization to work in Lebanon. This is a 12-months contract with the possibility of extension based on performance and the availability of funds. The first three months of the contract will be a probationary period.

PRIMARY DUTIES AND RESPONSIBILITIES

Under the supervision of the Finance Officer – MENA Programs, the Finance and Administration Assistant – MENA will:

  • Support ICTJ MENA Finance Officer in the preparation of donor financial reports according to contractual obligations.
  • Ensure that expenses are identifiable, verifiable and therefore eligible under the project’s budget by keeping all required supporting documents (invoices, proof of delivery of services or completion of work, proof of payment, service contracts, etc.).
  • Assist in preparing monthly cash flow projections for different country offices as required.
  • Assist in preparing expenses reports to different country offices as required.
  • Track the financial progress of the project.
  • Prepare Budget vs Actual reports.
  • Assist in preparing contracts for service providers.
  • Ensure full implementation of ICTJ financial policies.
  • And any other tasks as required by MENA Finance Officer.
  • Assist in the preparation of new budgets.
  • Reconcile daily, monthly and yearly transactions.
  • Oversee logistics and other administrative tasks required.
  • Contribute to the organization of meetings, conferences, events and actions.

Other duties as assigned.

Professional Qualifications:

Education: A bachelor’s degree in finance or business administration.

Experience: Minimum of three years of work experience in finance, ideally for an international NGO.

Related skills and knowledge

  • Experience in book-keeping and accounting.
  • Experience in reporting to donors in an NGO environment.
  • Advanced knowledge of MS Office suite (Excel, Word, etc.).
  • Fluent spoken and written English and Arabic; proficiency in French is an asset.
  • Exceptional interpersonal skills and ability to communicate effectively with people from other cultures.
  • Ability to work independently and in a flexible environment; balance multiple priorities, meet strict deadlines.
  • Interest in human rights issues and world affairs a plus.
