Job Vacancy notice: Finance and Programme Assistant to start on 4 March 2024 for its office at the European Parliament in Brussels.

Job description:

The European Parliament Former Members Association (FMA) cooperates with the European Parliament to work towards European integration. It brings together almost 700 former MEPs from all EU countries and across the whole political spectrum. It connects Former Members of European Parliament with European citizens, policy makers and academics promoting political dialogue, democracy building and active citizenship through education.

The FMA seeks to fill the position of the Finance & Programme Assistant for its motivated team.

Requirements:

  • Citizen of EU Member State.
  • Degree in business, finance, accounting, or a related field.
  • Knowledge of Budgetary rules and experience with accounting and related need of a Belgian ASBL. 
  • Excellent knowledge of Excel, and experience in the usage of office software packages (MS Word, PowerPoint, etc), MailChimp. Knowledge of WordPress for the FMA Website management will be an asset.
  • Understanding of data privacy standards; superior attention to detail.
  • Reliability and ability to work under pressure.
  • Ability to work effectively and in a multicultural environment.
  • Fluent spoken and written English and French.
  • Good command of another EU language would be an asset. Good knowledge of the workings of the European Parliament would be an asset.

The post may evolve over time to adjust to changing needs and workload.

The person will directly work with the Administrators responsible for the concerned subject under the authority of the Secretary General.

Main responsibilities:

  • Processing and paying invoices, processing bank transfer requests, preparing the annual accounts, checking and updating ledger balances.
  • Scanning, filing and logging account documents.
  • Reviewing and processing of all financial transactions (invoices, bank deposits, time sheets, payroll, etc.) on a timely basis, ensuring accuracy, completeness and compliance with regulatory requirements.
  • Collecting and recording financial information, making sure that account balances are up to date, monitoring budgets, spending and profits.
  • Adhere to the FMA’s financial policies and procedures.
  • Legal formalities following deliberative meetings, for example: filing of accounts, changes of directors, etc.
  • Preparing the accounts for the External and Internal FMA auditors.
  • Participation in meetings of the Board.
  • Budget preparation.
  • Close relations with the treasurer on all subjects within its competence.
  • Monitoring and control of all expenditure and revenue, in particular the travel expenses of administrators.
  • Follow-up of members’ membership fees.
  • Staff issues (leave, payroll and selection procedure of trainees). These tasks are carried out in conjunction with external firms for payroll, social security charges and tax on payroll.
  • Databases management and assisting FMA Members.
  • Drafting letters and organising regular large mailings.
  • Liaising with universities under the EP to Campus Programme for the participation of FMA members in academic activities and seminars.

Duration:

1 year, renewable

Salary:

The Association offers a Belgian full-time employee contract with gross monthly salary depending on candidate’s profile.
