Description
Finance • Prepare day-to-day financial payment vouchers for all financial transactions • Record all financial transactions within the MAG cash and bank books ensuring that transactions are recorded in line with MAG Chart of Accounts. • Ensure that day-to-day transactions comply with MAG and donor policies and procedures, including ensuring compliance with MAG procurement procedures. • Ensure all accounting records and supporting documentation for all financial transactions are maintained in a systematic order. • Prepare Daily, Weekly and Monthly reconciliations of cash and bank balances. • Maintain a schedule of regular and contractual payments and ensure that these payments are made. • Monitor, follow up and reconcile cash advances given to MAG employees. • Assist in preparing balance sheet reconciliations for the MAG Syria Programme. • Maintain the physical archiving of all payment voucher, payrolls, cash counting and other financial documents for NES financial archive. • Cash Forecast for Erbil Base, send to finance Coordinator on monthly basis • Facilitate and coordinate in country audits requested by donors. • Support in collecting information required by the audits including scanning documents, uploading, as requested.
Admin • Draft formal letters and documents in Arabic/Kurdish for administrative purposes. • Collect, review and file all MAG Erbil office timesheets (National and International) and boarding passes on a monthly basis. • Assist in managing travel and visas as required such as booking flights, amending flight reservations, booking hotels, arranging local permits, coordinating transport arrangements etc
• Welcoming visitors to the MAG office. • Maintaining office/cleaning supplies and coordinating any necessary maintenance as tasked. • Ensure the office is well supplied with stationery and other office essential materials. • Providing general administrative support to the Management Team as required. • Perform other tasks as assigned by the Line Manager.

Qualifications & Preferred Skills
Person specification/ selection criteria:
The post holder should be able to demonstrate the following attributes:
• Excellent command of spoken and written English, Kurdish and Arabic languages – both written and verbal • Bachelor’s degree in administration, management or equivalent experience in the role. • Previous experience working in non-profit/humanitarian sector min. 2 years. • Demonstrable experience in Finance. • Excellent internet and computer skills (specifically MS Word and Excel) • Ability to work as part of a team • Administrative skills and ability to take minutes of meetings • High level of self-motivation • Honesty and integrity • An understanding of NGOs and a commitment to humanitarian work • Wiling to work extended hours as/when required.
