Purpose of Position:

The Finance Assistant takes charge of the Organization’s financial health by administering accounting operations to meet legal requirements. The Finance Assistant is responsible for financial and administrative matters. He/she works under supervision and closely coordinates with the HQ Finance Department. He/she should also have excellent organizational skills and be able to handle time-sensitive tasks. Ultimately, he/she will be responsible for the day-to-day management of Bahar’s financial transactions and procedures.

Ultimately, he/she will be responsible for the day-to-day management of Bahar’s financial transactions and procedures.

Job Duties and Responsibilities:

  • Checks the vouchers and the relevant supportive documents (quality, authenticity, reliability, accuracy, and fairness).
  • Participates, if needed, in the significant payments which must be done in the field.
  • Collects relevant supportive documents regarding the expenses/ purchases/ payments done in the field.
  • Daily registration of vouchers in the (Quick Book) and preparing vouchers for booking.
  • Ensures efficient support for each HQ & field Office in implementing the Quick Books system for the Finance Track.
  • Contributes to developing and elaborating new learning materials for the Finance staff members in BAHAR.
  • Monitors that the Quick Books system is used or will be used at its total capacity at the BAHAR.
  • Checks that the financial procedures on the Quick Books system are well-respected in HQ & each Field Office and provides regularly reliable data about the use of BAHAR Org.
  • Guarantees the respect of Bahar’s financial guidelines and procedures.
  • Maintains proper filing of all financial documentation (vouchers, contracts, tender documents, etc.)
  • Responsible for filing electronic scan files and maintenance of the scanned archive.
  • Supports in preparing monthly cash counts.
  • Supports in preparing partners’ reports.
  • Provides necessary documents and reports for internal control.
  • Supports in preparing monthly accounting reports and accounting files for projects.
  • Fulfillment of any other tasks assigned by the management that correspond with the nature of this position.
  • Performs and manages the day-to-day financial and accounting operations, including bookkeeping, cash book, and all other records as required, and prepares monthly accounting and reconciliation reports.
  • Ensures proper accounting and administration of funds.
  • Supports the financial audit processes through the preparation of standard reports as well as other custom reports as requested.
  • Ensures that all finance operations are performed in accordance with Bahar guidelines and donors’ regulations.
  • Reviews all payment documents for proper and adequate payment and accounting as per Bahar guidelines.
  • Ensures adequate cash balance is available for smooth functioning of activities.
  • Safe custody of financial documents and date.
  • Manages the Dernekler Bilgi Sistemi _ (DERBİS) for the declaration of expenditures for Syria and reporting to the Government,
  • Notifications for providing foreign aid.
  • Notifications of foreign aid activities result.
  • Able to report about funds received & funds transfer
  • Tracks all advances monthly.
  • Other tasks when required.

Academic Qualification/s and Professional Experience:

  • Bachelor’s degree in business, Accounting, or Economics or relevant education.
  • At least 1 year of relevant experience in Humanitarian aid projects and complicated contexts.
  • Good experience in accounting systems

Required Skills and Capabilities:

  • Turkish Nationality Preferable
  • English language proficiency: Good.
  • MS-Office proficiency: Advanced.
  • Good communication and social skills.
  • Accurate, structured, flexible, and responsible.
  • Ability to transfer gained skills to other staff.
  • Empathy with organizational vision, mission, goals, and objectives; commitment to humanitarian principles and actions.
