Job Description Summary

The Finance Coordinator is responsible for processing payroll for WXPN, currently with 50 full time employees, 16 part time employees, and 3-5 students. They perform accounts payable transactions in BEN and make entries and run reports in the Sage general ledger.
The Finance Coordinator provides backup to the Accounting Clerk for accounts receivable duties, orders office supplies, and perform miscellaneous administrative duties.
The Finance Coordinator reports to the Accounts Payable Manager and is part of a five-person Finance Department.

Job Description

Job Responsibilities

  • Process invoices – organize, obtain approvals through online folders, process in BEN, record in Sage, check status, create month-end entries in Sage and review data entry to support Accounts Payable Manager in the monthly close (30%)
  • Administrative duties – filing, ordering supplies, performing backup duties (25%)
  • Process payroll – serve as timekeeper in Workday, process one-time payments and compensation changes, update allocations, perform payroll reallocations, run and review weekly payroll reports, maintain salary file (15%)
  • Expense processing – Serve as default reviewer in Concur, assist staff with expense report entry issues, monitor purchase card transactions, collect relevant paperwork, and allocate weekly and enter expense reports in Sage (15%)
  • Onboard new vendors – send relevant paperwork and obtain approvals, process through Penn Marketplace (10%)
  • Other duties as assigned (5%)

Qualifications

High School graduate or GED plus 5 to 7 years experience required, with bookkeeping, payroll, or data entry experience preferred.

A successful candidate will possess superior organizational skills, an excellent eye for detail, an aptitude for basic mathematics, great computer skills, a customer service mindset, and the ability to work independently.
