Job Summary:

This position performs duties relating to the procurement, maintenance, coordination, and inventory control of the Department’s critical supplies including vehicles, uniforms, and law enforcement equipment.
The person in this position is expected to be capable of performing a variety of both physical labor and administrative work such as coordinating vehicle maintenance, ordering equipment and uniforms, inventory maintenance and accountability, conducting minor repairs and maintenance to equipment and vehicles, and providing logistical support for large scale trainings and events. The person in this position must have strong interpersonal and communication skills to effectively work with a variety of employees, stakeholders, and vendors. The person in this position is expected to engage in physical manual labor while maintaining equipment and uniform inventories, installing and removing equipment, and providing mission critical logistical support in the field.
Overall, persons in this position perform duties exercising problem solving, initiative, creativity and good judgment. Persons in this position must apply a wide variety of rules, practices and procedural guidelines in the exercise of responsibilities.

Persons in this position must be able to operate independently in handling a wide variety of situations. Persons in this position must be able to set priorities to meet the demands of the department, including the ability to multi-task.

Responsibilities:
Provides administrative support for a department, group of professionals, or to the manager of a work group consisting of professional staff and subordinate supervisors in support of unit goals, under general supervision

  • 15% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • 20% Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
  • 15% Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums
  • 15% Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
  • 15% Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
  • 5% Required to work special events or assignments as designated by the Department
  • 15% Performs manual labor related to the department’s fleet and equipment, including minor maintenance, installation, removal, and repairs to department equipment and vehicles, and other applicable maintenance to support Department needs.

Qualifications:

Required:
1. Experience with managing multiple projects with varying deadlines.
2. Experience with planning and logistics.
3. Demonstrate the ability to problem solve using techniques to a wide variety of issues and situations.
4. Excellent interpersonal skills, both verbal and written communication
5. Experience providing administrative assistance in a professional office setting
6. Proficiency with Microsoft Office, i.e. Outlook, Word, Excel and PowerPoint
7. Ability to work hours outside the normal working schedule, including nights, weekends and occasionally holidays
8. Experience effectively handling difficult customer situations with appropriate conflict resolution skills.
9. Demonstrate excellent record keeping.
Preferred:
1. Experience with inventory management and control
2. Ability to perform minor mechanical repairs to equipment and/or vehicles
3. Proficiency with other information technology systems beyond basic Microsoft Office applications
4. Experience with law enforcement related equipment, uniforms, vehicles, and evolving best practices

Work Schedule:

This position is considered an essential position for the University Campus. The final schedule worked will be discussed and agreed upon with UWPD management; however, this position will need to have flexibility in the schedule to meet the needs for the department. In general, the hours will be during business hours Monday-Friday. This position will be required to occasionally work early or late as required by events. Some work beyond or outside hours agreed upon may be required during emergencies, special events or as assigned.
