Who are we?
Fleet Forum is the world’s only not-for-profit organisation dedicated to cleaner, safer and more effective humanitarian transport in developing nations.
Our members include (international) non-governmental organisations, United Nations agencies, Red
Cross/Crescent organisations, commercial fleet operators and mobility product and service suppliers. Through professional fleet management, we help our members to deliver lifesaving and life changing aid to communities in need in a sustainable way.
Since our inception, training delivery has been a key pillar of our activities in order to build capacity of country fleet managers in aid and development organisations and have fleet management recognised as an area requiring professional and managerial competence. In recent years, we have broadened our capacity building activities to include group coaching, peer networking, training of trainers and recognition awards.
Under our strategy 2023 – 2028: ‘Sustainable Transport for a Better World’ we have the objective to work with more aid and development organisations, locally, regionally and globally. In 2024, we are looking for a self-steering professional to connect with our members in the field, lead the delivery of our training activities and take our field engagement activities to the next level of maturity. And that is where you come in!
Our Field Engagement Coordinator
As our Field Engagement Coordinator, you will be instrumental in facilitating engagement, understanding member needs, and ensuring the effective delivery of Fleet Forum’s capacity building activities in the field, including training programs, local hubs, and group coaching for fleet managers. Your expertise will foster a culture of continuous learning and development among our fleet managers, guiding and equipping them to make a tangible impact in the humanitarian and development sector.
Your Responsibilities
Training Coordination and Delivery: You will primarily deliver – and in some cases oversee our Supporting Trainer in delivering – comprehensive virtual and face-to-face fleet management trainings, tailored to the needs of fleet managers. No two trainings are the same; you master the adult learning methodology, quickly get to know trainees, and adjust your facilitation approach to ensure everyone gets value from the training, no matter their position in their organisation.
Coaching: You facilitate group coaching sessions to guide fleet managers to implement what they have learnt after being trained. Through these sessions, you identify high-potential fleet managers and connect them to other capacity building activities within Fleet Forum. Occasionally, you provide 1-on-1 coaching.
Member Engagement: You actively engage with Fleet Forum members in the field, building strong relationships, understanding their needs, and gathering feedback to improve support. You are not afraid to reach out to people individually and craft messages that trigger them into action. You connect the dots between different Fleet Forum activities, identify capacity-building opportunities and implement strategies to strengthen the competencies of fleet managers. You promote Fleet Forum’s mission and services, increasing awareness and participation among potential members and partners.
Knowledge Management: Through the field engagement activities, you identify good practices being implemented by fleet managers and regularly report insights and feedback from field engagements to Fleet Forum’s Delivery Director, ensuring our organisation remains at the forefront of the sector and contributing to the continuous improvement of our offerings.
Marketing, Promotion & Administration: You work closely with Fleet Forum’s Communications Specialist and Administrator to communicate the benefits of the trainings, attract new participants and ensure the administration of our trainings and field engagement activities runs smoothly.
Evaluation and Improvement: You continuously assess the effectiveness of training and field engagement activities. You work together with Fleet Forum’s Delivery Director to develop and monitor KPIs, using this as the basis to improve content and delivery methods, identify new topics for development and communicate our impact to donors and member community.
Your Experience and Qualifications
- Bachelor’s degree or equivalent professional certification in Adult Education, International Relations, Business Administration, Logistics, or a related field.
- Minimum of 5 years of international experience in (physical and virtual) training delivery and facilitation, within humanitarian operations or commercial operations in the Global South.
- Proven experience of coaching and developing people.
- Proficiency in Microsoft Office, Microsoft Teams as well as collaboration tools such as Miro or Mural.
- Experience in instructional design and training development is a plus.
- Experience in talent management programs is a plus.
Your Competencies
- Passionate about capacity building and professional development;
- Helps and encourages others to create their own learning strategies. Persists in declining to take ownership while supporting others to resolve issues and evaluate outcomes for themselves;
- Self-reflective, actively seeks feedback about their performance from a range of sources;
- Communicating information effectively, facilitates appropriate information flow to stakeholders;
- Strong organizational skills, including time management. Able to keep track of multiple fleet managers while setting personal boundaries and managing one own’s energy levels;
- Contextual awareness and cultural sensitivity; observes or challenges the prevailing culture, values, norms, and unspoken rules of groups;
- Identifies critical issues and areas for improvement, has a solution-oriented approach, thinks in options and opportunities;
- Full professional proficiency in English (C1) and full professional proficiency in either French or Spanish, with preference for French. Other languages are a plus.
How We Work Together
Fleet Forum is a virtual organisation. No office, no assets, no people on the payroll. That means that you will work with us under a consultancy contract.
Every year we conduct 3 – 5 trainings face-to-face, in regionally accessible locations across West Africa, East Africa, Middle East, Latin America and Asia. Depending on the number of languages you can comfortably train in (English, French, Arabic and Spanish), we prefer candidates who are based in locations that would require limited air travel and therefore fewer emissions in line with our sustainability ambition.
How to apply
Are you interested and convinced you are the driven, people-oriented and value-focused coordinator we are looking for, then we would love to meet you. Please send your ideas and CV before 3 April to Nikita Udhwani, Delivery Director via email: Nikita.Udhwani@fleetforum.org
