Fundraising Assistant will support the Development team in ensuring an efficient proposals development process and an effective management of fundraising initiatives within WRI Indonesia. Key responsibilities include creation of detailed budget breakdown in collaboration with cross-functional team, proposal pipeline monitoring, data base and documents management, and reporting.
This position will be based in Jakarta with office-flex working arrangement and working under the direct supervision of Development Manager. In support of WRI’s DEI commitment, you are responsible for actively participating in these collaborative efforts by integrating equity into your work, our workplace, and the organizational culture.
Initial Budget Development :
- Create preliminary budget breakdowns for project proposals, ensuring alignment with organizational and donor standards under manager guidance
- Support the team in maintaining close collaboration with Program, Finance, Operations and other related cross-functional teams to collect cost inputs and estimates, adjusting them based on evolving project needs.
Fundraising Management :
- Set-up and maintain proposal pipelines using Asana (or similar tools), including task assignment, progress tracking, and deadline management.
- Send reminders and update relevant team members on key milestones, proactively identifying and addressing any potential issues or delays.
- Organize and maintain essential documentation (e.g., proposals, budgets, contracts, templates) to ensure completeness, compliance, and accessibility.
- Monitor potential tasks bottlenecks and coordinate with team members to address issues or delays quickly.
Reporting and Process Improvement :
- Identify any gaps or inefficiencies in existing processes and suggest improvements to enhance overall pipeline management process.
- Prepare periodic data-driven reports or dashboards that offer insights into the proposal pipeline’s performance.
- Evaluate pipeline performance by indicator analysis – such as total proposal volume, conversion rates and turnaround times.
What You Will Need:
- Bachelor’s degree in business administration, Finance, Economics, International Development, or other related field.
- Minimum 2 years of experience in a similar role, particularly budget management, proposal development, or fundraising in the development sector (experience can include hands-on involvement in campus activities or volunteer work)
- Direct experience working with donor-funded projects and familiarity with donor reporting requirements is preferred.
- Strong financial skills in creating and managing detailed budget and forecasting cost effectively.
- Proven track record of participating in collaborative efforts to develop a project proposal.
- Good writing and proofreading skills
- Basic understanding in project management and donor relationship management best practices
- Ability to learn various tools to track and review proposal pipeline and funder’s requirements.
- Basic understanding in PMEL standard and theory of change.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), SharePoint, and Salesforce is preferred.
- Strong interpersonal and collaborative skills; a demonstrated ability to diplomatically and effectively collaborate internally to deliver results.
- Good communication and presentation skills, with the ability to effectively convey the organization’s mission and impact to diverse audiences.
- Proficiency in English and Bahasa Indonesia, both written and verbal.
- Comfortably working in a fast-paced environment with strong ability in managing multiple competing priorities.
- Ability and willingness to travel as assigned
- Legally able to work in Indonesia
