Tasks and Responsibilities:

Under the direct supervision from Senior Administrative Assistant the incumbent will be responsible for:

1.   Assisting in issues pertaining to Supply/Building Management, Asset Management and Transport  
   • Monitoring the operation of power generators. Controls general condition of the generators, changes generators oil, oil filters, checks coolant system;
   • Responsible for general maintenance of the electrical installation. Inspecting and making assessments on the buildings electrical installation replacing damaged fuses and sockets. Reporting considerable damage to supervisor;
   • Providing basic technical maintenance of the central heating system;
   • Providing regular maintenance of water supply and sewage systems. Repairing/replacing toilets, sinks, taps siphons and damaged parts as and when required;
   • Upon request repairing doors, windows, chairs, desks and desk drawers and other office furniture, carrying different office furniture (including mounting and dismounting);
   • Assisting with arranging the RC storage space, in managing the assets management and inventories and also  in ensuring the availability and distribution of stationery and  office supplies; 
   • Assisting in monitoring the use and maintenance of office vehicles and also drives when required;
   • Assisting in organizing accommodation and transport to and from the airport for new mission members;
2.  Assisting in arranging the RC meetings, roundtables or workshops; assisting with mail distribution within and outside the Regional Centre/Office; 
   • Assisting in distribution of mail designated to the RC’s Sections and to the other Departments within Regional Centre; 
   • Assisting in distribution mail (reports, invitations, etc) to the Regional Centers interlocutors;
   • Assisting in the organization and preparation of staff workshops, roundtables and visitor and staff meetings; books RC conference or meeting facilities, assisting with setting up conference rooms, printing and distribution of  background materials, accommodation booking and/or transport arrangements;

3.  Performing other duties as assigned.

Necessary Qualifications:

  • Completed secondary education supplemented by technical training  in electricity, mechanic or plumbing
  • Minimum two years of work experience in the field of building and/or car  maintenance in addition to some clerical office experience preferably with an international organization
  • Computer literate with practical experience with Microsoft packages
  • Good oral and written communication skills in English and in local languages
  • Ability to work with people of different communities, religions and cultural backgrounds
  • Demonstrated gender awareness and sensibility and ability to integrate a gender perspective into tasks and activities
  • Valid driving license.

Remuneration Package:

Monthly remuneration, subject to social security deductions is 792.00 Euro/month. Social benefits will include participation in the OSCE group medical insurance scheme and the OSCE Provident Fund. Appointments are normally made at step 1 of the applicable OSCE salary scale. At the discretion of the appointing authority a higher step may be approved up to a maximum of step 3 subject to specific conditions.

Please note that for this position the OSCE does not reimburse expenses such as travel in connection with interviews, tests, visas and relocation. Please be aware that the OSCE does not request payment at any stage of the application and review process.
The mandatory retirement age at the OSCE is 65 years for contracted positions at the general service, professional and director level. The Organization shall apply an age limit of 63 years at the time of appointment as the incumbent selected is normally expected to carry out the contractual obligation of two years.
