Alumni Affairs and Development is a dedicated team supporting Harvard’s advancement activity through front-line fundraising, alumni and volunteer engagement, technology, prospect management and research, business process, events, communications, and many other areas.

AA&D Resources
AA&D Resources encompasses teams that support all units across AA&D plus all schools and units across the University. AA&D Resources includes Technology and Support Services, Business Process and Operations, Alumni and Development Services (ADS), Administration and Finance, Events, Communications Creative Services, Research and Prospect Management, Human Resources, and the AA&D Talent Program.

This full-time, non-exempt position will work with the Gift and Pledge Management team to support the critical work of maximizing the fulfillment of pledged gifts and providing timely tax documentation to donors.  Working collaboratively across University departments, as well as directly with external donors, the Coordinator supports a comprehensive program responsible for documentation, donor relations, donor communication, and reporting for pledged gifts across the University, with particular focus on schools who participate in centralized pledge services (FAS/UDO/GSE/HRI/GSD/HDS).

Position Description

  • Primary responsibility for providing customer service to donors and internal partners with regards to tax receipting and pledge related inquiries.
  • Execute University tax receipt program, including coordination with mail house or email strategy team, production of duplicate receipts, and production of manual receipts. Produce complex donor histories and active pledge summaries for fundraisers and donors
  • Produce and send pledge statements
  • In collaboration with Assistant Director, produce and send pledge reminders.
  • Perform pledge maintenance activities such as adding offsets and offset exceptions, updating pledge schedules, and submitting gift modifications.
  • During busy year end periods, enter pledges into Advance

Basic Qualifications

  • Minimum 2+ years’ experience in university fundraising, administration or transferable experience in communication and data management.
  • Proficiency with MS Office required.

Additional Qualifications and Skills

  • Bachelor’s degree preferred
  • Must exhibit great attention to detail and have the ability to produce clear documentation.
  • Must have excellent organizational skills and have the ability to maintain organization amidst multiple competing priorities.
  • Must be motivated to learn, flexible to change, and innovative.
  • Must be creative and proactive yet disciplined, discriminating and able to streamline work volume in order to maintain bottom line efforts in midst of multi-tasking and daily re-prioritizing, with associate director’s guidance.
  • Must also be professional, confidential, and have a good familiarity with the people and the objectives of Harvard Alumni Affairs and Development organization.
  • Strong analytical background and proficient in data analysis utilizing a variety of software tools.
  • Excellent written and verbal communication skills and the ability to interact professionally with a diverse group of individuals.
  • Experience with SQL, Toad, ADVANCE and Qlikview and other Business Intelligence technologies desirable.
  • Knowledge of academic communities and Harvard preferred.
  • Occasional overtime hours may be required.

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
