The Environmental Investigation Agency (EIA) is a 501(c)(3) independent, international, non-profit advocacy organization based in Washington, D.C., with a proven record of triggering and affecting systemic change to protect the Earth’s environment. These crimes include illegal trade in endangered wildlife, illegal logging and associated trade in illegal timber, illegalities in the extractives sector and the trade in both climate-damaging and ozone-layer-depleting gases.
Position Description:
EIA is seeking to hire a creative and highly motivated Grants Compliance Coordinator to join one of the most dynamic advocacy teams in Washington DC. As a key member of the Operations team, EIA seeks an energetic and enthusiastic individual to support the Senior Manager, Grants and Contracts with grant and contract interpretation, compliance with regulatory requirements and restrictions, sub-award administration, donor relations, monitoring, evaluation and learning, budget monitoring, among others.
This position is based in Washington, DC.
Main Roles and Responsibilities:
- Support in the preparation of funders’ reports including progress and financial reports, ensuring accuracy and compliance with the relevant terms and conditions.
- Support with compiling funder proposals, including renewals, to ensure alignment with the funder’s requirements and guidelines.
- Collaboratively with the Senior Manager, Grants, and Contracts, assist with reconciling and reporting funding expenditures in accordance with the approved budget.
- Recommend and actively maintain an internal monitoring system to meet funders’ reporting deadlines, deliverables and KPIs and track spend down.
- Assist with programmatic budget monitoring and preparation of budget vs actual reports. Support with analysis of variances between approved budget assumptions and actual expenditures, verify costs’ allowability, allocability, and verifiability, and follow through with internal budget monitoring and revisions.
- Review Sub grantee and Consultant budgets pre-award and provide feedback and recommendations to Senior Manager, Grants and Contracts.
- Together with the Senior Manager, Grants and Contracts, review Sub grantee organizational assessments and recommend monitoring and controls based on risk assessment categorizations
- Work with Senior Manager, Grants and Contracts to provide technical support to build the capacity of Sub grantees to manage funding in compliance with funder requirements
- Coordinate review and feedback on post-award monitoring, and reporting, ensuring timely collection and review of all sub grantee financial reports and audits, when applicable.
- Lead closeout of sub grants, ensuring all required documents are received, filed and meet requirements (legal, funder-specific, audit).
- Contributes to updating Grants procedures and SOPs.
- Work closely with the grants team review and support sub grantee and consultant amendment requests. These include add-ons, budget realignments, cost/no-cost extensions requiring approvals.
- Contribute to fundraising efforts through close collaboration and coordination, through researching funding opportunities, compiling prospect details and facilitating internal coordination to support organizational growth and sustainability.
- Interpret and apply donor regulations and guidelines, including for US Government and non-US sources, regarding grant administration. Ensuring adherence to funders’ terms and conditions, with a specific focus on Federal grant Compliance.
- Assist in developing a framework for monitoring and evaluating grant deliverables and reports.
- Ensure grant files are properly organized and updated.
Essential Expertise and Qualifications:
- Bachelor’s degree in a related field finance, public administration or an equivalent combination of certifications and relevant courses.
- Three to four years’ experience in financial management and administration, preferably in nonprofits.
- Experience working with federal funding e.g. USAID, and complex and detailed funder agreements, contracts, SOPs and MOUs.
- Strong written and verbal communication skills, and strong proofreading skills to ensure accuracy and quality of written materials.
- Demonstrated ability to effectively organize disparate information, multiple activities, and competing priorities.
- Ability to anticipate, identify, and solve problems.
- Exceptional interpersonal skills – including an eagerness to engage with others and ability to work effectively with people in various locations
- Ability to maintain a high level of efficiency, confidentiality and integrity in a fast-paced, demanding, and often changing environment.
- Good work ethic, high standards, strong organizational skills and the ability to work independently as well as in a team.
Other Desirable Qualifications:
- Foreign language skills, particularly Spanish, French, Portuguese or Mandarin, a plus.

Compensation:
This is a full-time position with an estimated starting salary in the range of $56,000-63,000, commensurate with experience.
