Grants Coordinator

Background

NRCs Field Operations’ department (FO Department) overall global responsibilities include: a) global programme development and policy setting, b) overall preparedness and emergency response capacity, c) monitoring, assessment and start-up of new emergency programmes/country operations, d) strategic and operational direction on security risk management and crisis management and e) strategic development and oversight of regions, f) innovation and grants management of global projects.

This position will be a part of the Strategy, Innovation and Support (SIS) section in the Field Operations Department, where the position will work alongside staff with Grants, Finance and Project Cycle Management expertise, as well as Innovation, Strategy and administration focused staff. The position will work closely with the Corporate team in the External Relations department especially aligned to the LEGO Foundation grant, but also parts of the Global Programme Section and the Emergency Response Section also in the FO Department.

From March 2023, NRC will implement the LEGO Foundation project “Acute Humanitarian Response 2024-2026” providing first-line education response to displacement affected children which requires specific follow up and learning and where this position will play an important role to enable the project to be successful. The position will also support other projects as necessary and when possible, during the life cycle of the LEGO Foundation project.

 

What we are looking for:

The position will contribute to achieving quality programming by leading effective grants management processes across its portfolio but with a focus on the LEGO Foundation “Acute Humanitarian Response 2024-2026” project. The position supports budget holders to ensure donor compliance across the project portfolio, to support development of high quality and timely donor reports and other external products and to coordinate any project revision processes. The position is responsible for the completion of key mandatory activities under NRC’s Project Cycle Management (PCM) framework. The position will work closely with the LEGO Foundation extended project team across NRC, it will report to the Director of Strategy, Innovation and Support but with a technical line to the Grants Adviser in Field Operations department.

 

What you will do:

1. Coordinate and support relevant country offices with applications for funding from the “Acute Humanitarian Response 2024-2026” LEGO Foundation project via approval by the Executive Director FO, based on the emergency alert form and other relevant documents agreed with LEGO Foundation, working across the project team to gather relevant information to delivery timely, quality proposals.
2. Support the country offices with relevant reporting throughout the project period and final reporting to LEGO Foundation through the ExRel/Corporate focal point, working across the project and support team to gather information incl. relevant financial items.
3. Manage relevant administrative and grants management practices to support the LEGO Foundation project and other relevant projects with templates for proposals and reporting and other communication tools, process for approvals of allocation of funding and other items as deemed necessary.
4. Be the focal point for the country offices implementing the LEGO Foundation grant, the Education and the Emergency technical staff on grants and project relevant issues and liaise with the Corporate team as necessary.
5. Responsible for having specific knowledge of the LEGO Foundation requirements, to support country offices with the implementation of the relevant funding allocations and flexibility built into the grant – done in close collaboration with the relevant ExRel and Education focal points for LEGO Foundation.
6. Maintain overview over all grants, relevant donor requirements and application of these to the projects under the position’s portfolio, support to the relevant project managers/budget holders, internal and external deadlines, aligned to the global project management system and relevant Project Cycle Management practices, including filing of grant documents.
7. Arrange relevant Project Cycle Management activities and other follow-up meetings including but not limited to Grant Opening Meetings (GOM) and BvA meetings with ExRel and the projects as needed.
8. Assist with developing funding proposals in line with the Field Operations priorities, including summarising key information on donor requirements and compliance standards and following up on the application of these in the projects if successful, through supporting Project Managers and budget holders under the relevant agreed portfolio.
9. Support and participate in any NRC specific Steering Committee for relevant project with information, overviews and administrative tasks necessary for a successful implementation of the project.
10. Compliance and adherence to NRC policies, CC tools, handbooks and guidelines and a specific responsibility for Grants Management policies and procedures

What you will bring:

• University degree or equivalent qualification.
• Preferably 3 years of work experience from a humanitarian/development organisation and/or from a donor administration (corporate or institutional), either at Head Office/capital or field/embassy level.
• Documented results within administration.
• Documented writing skills in English.
• A highly conscientious, service minded and structured person with strong planning skills.
• Excellent interpersonal and communication skills.

Knowledge and experience desired for this position:

• Experience with successful project management including proposal and report writing.
• Knowledge of Project Cycle Management.
• Prior experience with funding mechanisms is desirable such as; LEGO Foundation, EU (INTPA and/or ECHO), corporate donors incl. private foundations
• Experience with international foundations and other donors is an advantage.
• Prior experience with competitive application processes from the donor side is desirable.
