IDMC is currently seeking a maternity leave replacement for a period of 6 months to cover the position of Grants Management Coordinator within IDMC’s External Relations team.

What you will do
The purpose of the Grants Management Coordinator is to ensure the smooth running of the day-to-day operations of the External Relations team, facilitating the optimum completion of deliverables and tasks. You will be responsible for preparing and maintaining up-to-date workplans, calendars, budgets and other monitoring tools to track progress in the completion of deliverables. The Grants Management Coordinator is also responsible for grants management and ensuring the timely delivery on donor commitments and compliance with donor rules and regulations. You will also act as budget monitoring focal point for designated grants and will monitor project expenditure and keep track of budget changes and variations.
As a Grants Management Coordinator (maternity cover), some of your main responsibilities include:
Grants Management and Budget Monitoring
- Enhance and support implementation of IDMC’s grants management procedures and ensure compliance with all grant agreements and donor requirements; organise periodic performance review meetings to monitor progress and ensure timely completion of grant deliverables and milestones and identify and flag risk and potential issues in grant implementation.
- Maintain the grant management system/database to track progress and measure performance, keep track of donor communications and centralise grants/donor files.
- Draft professional donor reports for review by Head of External Relations and onward submission to donors: consolidate inputs from project implementation team, monitor and account for grant achievements, ensure reporting against indicators, activities, outputs, and outcomes.
- Review grant agreements prior to signing for all liability issues and ensure compliance with donor requirements on existing grant agreements.
- Inform on donor rules and regulations.
- Act as focal point for budget monitoring of designated grants.
- Prepare and maintain up-to-date workplans, calendars, budgets and other monitoring tools to track progress in the completion of deliverables.
- Monitor expenditure and review monthly budget monitoring tools.
- Provide operational support in relation to the procurement of goods and services.
- Support fundraising efforts by conducting research on key funding prospects.
CRM Administration
- Act as system administrator of IDMC’s Salesforce CRM, being responsible for liaising with all teams to maintain the database of contacts up to date, training staff and promoting the adoption of the CRM across the organisation, and for providing general support and troubleshooting technical issues.

What you will bring
We are seeking a conscientious and structured Grants Management Coordinator with training and experience in project cycle management and grants management for non-profit organisations. You will also have previous work experience in the humanitarian and/or development sector.
In addition, you will have:
- Excellent written and oral communication skills in English.
- Bachelor’s degree in international Affairs, Economics, Business Administration or Information Technology.
- Excellent organizational and computer skills; experience with project management software such as Salesforce.
- Proven skills in report-writing and document editing; experience in monitoring and evaluation or reporting against logical frameworks.
What we offer:
- A 6-months, full-time maternity cover;
- Duty station: Geneva, Switzerland (candidates need to be EU/EFTA citizens or have a valid work permit for Geneva, Switzerland in order to be eligible for this role – please ensure to include this information in your application);
- Salary and benefits according to NRC Geneva’s local terms and conditions. This position is a grade 7 on NRC Geneva’s 12 grade salary scale, with a gross annual salary of CHF 98,496.
