POSITION SUMMARY
The Philanthropies team uses grants, mission investments, convenings and policy engagement to drive impact. The Grants Management System Administrator is in charge of the administration of and training in Fluxx, Trinity’s grantmaking database, as well as ensuring compliance with legal and ethical requirements for Trinity’s grantmaking. This position provides support and review for grants in 1-2 of Trinity’s strategic initiatives and helps to prepare materials for Grants Committee review.
The annual salary range for this position is $102,900 to $116,000.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Grants Management System Administrator
- Manages the grants database, maintaining data integrity, and identifies and implements process improvements to ensure smooth grantmaking operations. Related tasks include:
- Creating new dashboards and application forms;
- Updating and improving user management for both internal and external users;
- Reviewing and updating application security requirements;
- Updating and improving workflows;
- Updating and creating emails and document templates; and
- Designing standard and ad hoc reports.
- Trains staff and creates reference training materials for staff and grantees.
- Responds in a timely manner to incoming requests from Philanthropies staff, including elevated grantee support issues.
- Provides expert advice and translates grant processes, policies, and procedures into practice.
- With evaluation staff, designs and manages data collection for monitoring and learning.
- Lead/oversee weekly meetings with consultant developers.
Grants Review & Support, in initiatives of responsibility
- Reviews grant record for completeness, as well as conducting due diligence and grant structuring.
- Processes and generates award emails and grant agreements.
- Coordinates grant payments.
- Manages the completion and closure of grants.
Internal Engagement & Team Culture
- Works closely with Philanthropies program staff, as well as other departments at Trinity Church.
- Ensures that all work is approached with rigorous execution and the highest standards of ethics, aligned with Trinity’s core values.
- Adheres to confidentiality rules and all other Trinity policies, procedures, and rules.
- Performs all duties in a manner that promote Trinity’s mission and core values.
- Assumes other related responsibilities and special projects as required.
REQUIRED KNOWLEDGE, SKILLS, AND ACTIVITIES
- Experience with grants database programs such as Fluxx, Blackbaud, or foundationConnect, is essential. The ideal candidate will have experience configuring the Fluxx database.
- Experience with relational databases, forms, report creation, APIs and related integration tools.
- Has demonstrated technical project management skills, including experience managing developers.
- Ability to maintain a realistic balance among multiple priorities, and work independently on project management, from conception to completion.
- Effectively communicate technical concepts in easy-to-understand training materials.
- Excellent interpersonal skills allowing candidate to work graciously and effectively with all levels of internal and external stakeholders, as well as outside consultants and constituents.
- Ability to identify issues of concern and the confidence to do so without fear or favor of seniority.
- Maintains professional demeanor and positive attitude in a mission/results-driven environment.
REQUIRED AND PREFERRED EDUCATION, EXPERIENCE, AND CREDENTIALS
- Bachelor’s degree in a relevant discipline preferred or an equivalent combination of training and/or experience.
- 3-5 years of experience in a foundation or other grantmaking context.
- Knowledge of Liquid, HTML/CSS, or Ruby is helpful but not required.
