In your capacity as the Head of System Implementation at Malaria Consortium, you hold a pivotal role 
as the organisation looks to implement a new Enterprise Resource Planning system (ERP). 
Your purpose encompasses diverse crucial dimensions. Firstly, you will significantly contribute by 
carefully examining system prerequisites and proposing finely tuned business processes. This 
foundational work ensures the smooth integration of our selected ERP in line with approved design 
specifications.

Beyond mere technical setup, your expertise is crucial throughout the entire implementation journey.
Your skill in translating requirements and proposed processes into actionable plans lays a strong
groundwork for seamless execution. You will not only guide the implementation but also provide
expert insights on ERP functionality, suggesting refinements in business processes for successful
outcomes.

Your influence extends to training the team and fostering a culture of best practices. Sharing the latest
advancements in technology and product updates enriches our collective understanding. Moreover,
active participation in system design workshops and engagement with stakeholders builds robust

Scope of role:
The Head of System Implementation will be at the forefront of this transformation, responsible for
overseeing the entire implementation process, from initial scoping to system integration. Your
influence will extend to a range of financial and accounting functions, procurement, HR, customer
relationship management as well as project management, making you an integral part of our
organization’s evolution. You will work with the Global team as well as country offices.
Key working relationships

  • The Head of System Implementation will work closely with several key stakeholders including
  • department heads, external vendors, country teams.
Key accountabilities (percent of time spent on each area)
System Implementation Leadership and project management (50%):
  • Lead the end-to-end implementation of the new ERP system, from vendor selection to
  • successful integration, ensuring minimal disruption to ongoing operations.
  • Collaborate closely with cross-functional teams, including IT, Finance, HR, and Operations, to
  • ensure the system meets organizational requirements and adheres to best practices.
  • Develop a detailed project plan, including milestones, timelines, and resource allocation, and
  • monitor progress to ensure timely delivery.
  • Configure the selected ERP solution in line with approved design specifications.
  • Ensure a high level of quality assurance is met on the configured test systems.
  • Communicate project progress, issues, and resolutions to the Finance Director and other
  • relevant stakeholders.
  • Ensuring a smooth transition from the current system and providing ongoing support to
  • mitigate any concerns is vital for successful adoption of the new system.
Stakeholder Engagement (20%):
  • Engage with key stakeholders to understand their needs and gather requirements for the new
  • system. Collaboratively define system functionalities and configurations that align with
  • business objectives.
  • Facilitate workshops, meetings, and discussions with stakeholders to elicit feedback and
  • ensure their concerns and priorities are addressed.
Training and Development (20%):
  • Conduct efficient training sessions for end-users within the organization. Leading these
  • sessions will enhance end-user proficiency and enable smooth adoption of the new ERP
  • system.
  • Provide expertise on ERP functionality and guidance throughout the implementation process.
Process Optimization (10%):
  • Identify opportunities to streamline financial and cross function processes and enhance data
  • accuracy through the implementation of the new system.
  • Work closely with business units to understand their workflows and recommend systemdriven process improvements.

Qualifications and experience:
Essential:
  • Minimum of 5 years of hands-on experience with ERP systems
  • Implementation experience in Financials, Logistics or Project Costing and Billing or HR and Payroll.
  • Qualification in accounting, IT, or business-related fields.
  • Familiarity with implementation methodologies such as Prince2 or PMI.
  • Ability to meet deadlines and work efficiently.
  • Strong written and verbal communication skills.
  • Good commercial awareness.
  • Familiarity and proficiency in using MS Excel, MS Word, and SQL.
  • Understanding of process analysis and mapping.
  • Knowledge of Project Management processes.
  • Experience of working within matrix management structures.
  • Experience of leading on or playing a key role in supporting the selection of and transition to
  • a new ERP system
Desirable:
  • Experience with ERP systems like Unit4, SAP, and Microsoft Dynamics.
  • Strong understanding of financial systems and their integration with other business functions.
  • Understanding of general ledger principles
  • Experience playing a leadership role in large organisational change projects.
