The Center for Educational Outreach (CEO) within the Whiting School of Engineering at Johns Hopkins University will have significant impact on the future science, technology, engineering, and math (STEM) workforce by increasing the number of STEM leaders from underrepresented groups. Our mission is to engage JHU faculty and students to inspire and prepare PK-12 students in STEM education and careers. CEO is the resource for Johns Hopkins University STEM faculty and students looking to do STEM educational outreach for PK-12 students or teachers.

The Math Tutorial Program is a program that launched in Fall 2022 in collaboration with the University’s Presidents at Elmer A. Henderson: A Johns Hopkins Partnership School (Henderson-Hopkins). We ate seeking an Academic  Program Administrator who will report to the Whiting School of Engineering’s Center for Educational Outreach’s STEM Outreach Advisor. The Program Administrator will be based out of the Center for Educational Outreach with frequent tutor supervision and support on-site at Henderson-Hopkins.

The Academic Program Administrator will work full time on implementing the Math Tutorial Program to increase Henderson-Hopkins students’ proficiency, interest, and self-efficacy in math and potentially expand the program to other schools over time. The Academic Program Administrator’s include tutor recruitment and training, program coordination and implementation, and continuous program evaluation in partnership with the team and an evaluator.

Specific Duties & Responsibilities

The Program Administrator will oversee the following functions.

  • Recruit, train, and support undergraduate and graduate students as tutors and lead tutors.
  • Hire and manage 80+ undergraduate and graduate tutors.
  • Collaborate with Henderson-Hopkins staff to develop training and professional development.
  • Collaborate with Henderson-Hopkins staff to facilitate pre-service training.
  • Coordinate day-of logistics for math tutoring program, including scheduling, transportation and finding substitutes.
  • Track attendance (with input from Henderson-Hopkins staff) and payroll for undergraduate tutors.
  • Create and lead professional development sessions for tutors during each semester.
  • Support the external evaluation process to determine program effectiveness.
  • Collaborate with Henderson-Hopkins staff on curriculum development.
  • Meet weekly with the Henderson-Hopkins staff, lead tutors, and Henderson-Hopkins administrators.
  • Serve as liaison between the University and Henderson-Hopkins staff.
  • Other duties as assigned.

  • Proficient with team collaboration platforms (One Drive, MS Teams, One Note, Google Docs, Sheets, Forms, and Slack).
  • Proficient with operating virtual meetings (Zoom, Google Classroom, etc.).
  • Knowledge of Give Pulse or other volunteer management system, preferred.

Physical Requirements 

  • Stand, walk, and sit for extended periods of time.
  • Talk to hear (both in person and by phone)
  • Use hands and fingers to handle objects or controls.
  • Extensive keyboarding/typing.
  • Regularly required to stoop, bend, kneel and crouch and lift up to 25 pounds.

Supervisory responsibility

Budget authority

  • Approximately $350,000 per year with minimal oversight from supervisor.

Minimum Qualifications

  • Bachelor’s Degree.
  • Three years progressively responsible experience in program administration in an academic environment.
  • Additional education may substitute for required experience and additional experience may substitute for required education to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

  • Bachelor’s Degree or Master’s Degree in Education, Higher Education Administration, STEM or related field.
  • Five years progressive responsible experience in program management/administration in an outreach, volunteer, or educational environment.
  • Experience in management of student workers, staff and/or volunteers supporting long-term programming.
  • Experience in higher education program coordination and/or administration.
  • Experience in recruitment and hiring undergraduate and/or staff to support long-term programming.

Starting Salary Range: Min $47,500 – Max $83,300 Annually (Commensurate with experience)
Employee group: Full Time
Schedule: M-F, 8:00 AM – 4:30 PM; some evenings and weekend

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
