Reporting to the Director of Auxiliary Services, the Housing Coordinator is responsible for coordinating all on campus housing assignments at CCA. This includes the administration of the housing application and room assignment process, occupancy reporting for the residential facilities, and serving as the point of contact for housing as a partner to the CCA Student Services team. This position will deliver a high quality customer service experience to our diverse student body and liaise across CCA departments to best support our students.

MAIN RESPONSIBILITIES:

Administration/Operations – 50%

  • Administration and maintenance of leasing assignments, inventory, and database systems. Coordinate file maintenance of all documentation related to housing assignments. 

  • Keeps accurate and up to date records/files of assignment demographics and rosters. Publishes and shares occupancy stats and reports in a timely manner. 

  • Utilize housing software (Symplicity) to monitor and process housing applications and/or waitlists accurately, and provide troubleshooting as needed.

  • Coordinates with campus partners maintenance on enrollment and occupancy reports for the turnover of residence halls in a timely fashion.

  • Coordinates early arrival programs which includes but is not limited to interdepartmental communication of early arrival policy, collection of respective data and compilation of reports. 

  • Maintain communications and follow-up with current and prospective students, parents, prospective partners and clients by telephone, text, mail, e-mail, or in-person walk-in appointments.

  • Maintain annual calendar and project management system of tours, events, projects and deadlines.

  • Manage special projects and other related duties as assigned.

  • Maintain CCA Portal pages within Auxiliary Services. 

Engagement – 45%

  • Answering telephone, directing incoming calls, and taking messages and resident/student meetings related to housing administration and assignments. 

  • Point person for the Housing TeamworkDesk inbox and Ask CCA inbox for housing related inquiries including but not limited to housing cancellation, license agreements, and assignment change requests.

  • Provide hybrid (remote/in-office) support for cross departmental CCA Student Services, representing Auxiliary Services & Housing. 

  • Utilize policies & procedure understanding to maintain mass communication to both internal and external audiences. This may include written and visual assets to support all housing functions.

Policy & Compliance – 5%

  • Develop a working knowledge of College-wide policies and systems to be able to articulate and inform staff, students, and faculty. 

  • Coordinate and track updates to Housing License Agreements, ensure accuracy and compliance 

  • Coordinate annual occupancy monitoring reports to San Francisco

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree in relevant field preferred; 
  • 1-2 years experience in property management or leasing (higher education preferred). 
  • 1-2 years demonstrated administrative experience with excellence in customer service and interpersonal skills required.  
  • Demonstrated experience to successfully work independently, organize own work, and meet deadlines. 
  • Ability to use databases to track student housing assignments (Workday, Symplicity, Entrada), and maintain accurate billing and reporting.
  • Ability to perform multiple tasks with a high degree of accuracy and to manage time effectively. 
  • Ability to exercise appropriate independent judgment and to consult with supervisor when necessary. 
  • Ability to respond to emergency situations in a calm, effective, and professional manner. 
  • Maintain the confidentiality of sensitive information and records. 
  • Experience working with diverse groups in an educational or other non-profit organization preferred; 
  • Demonstrated ability to work with faculty, students, staff and contracted partners. 
  • Possess the ability to apply technological innovations to the Office of Auxiliary Services with strong computer skills in Windows and Mac platforms, project management systems, and ticketing communication systems.  
  • Experience using and supporting Workday or similar ERP software preferred.

COMPENSATION & BENEFITS :

  • The range for the position is $26 – $28/hour.

  • CCA offers a comprehensive benefits package, including the choice of five medical plans, generous holiday, sick & vacation time, a retirement match and tuition remission. CCA covers an average of 91% of the medical plan cost for the employee only and an average of 82% for employees with dependents.   • CCA considers a full-time work week to be 37.5 hours per week

  • Work Mode: Campus Hybrid

  • This position is covered under the staff union collective bargaining agreement and will be required to contribute to union dues/agency fees.

  • Schedule: Mon – Fri 9am-5pm
