Title: Human Resources and Administration Assistant
Reports to: Regional HR Manager
Location: Amman, Jordan
Travel: Up to 10%
The Near East Foundation (NEF) is seeking candidate for HR & Admin Assistant for its Jordan & Syria programs to be based in Jordan Regional Office. POSITION DESCRIPTION
The Human Resources and Administration Assistant is a key member of the Near East Foundation team in Jordan. The HR & Admin Assistant is responsible for day-to-day HR & administrative requirements, functions and assisting the regional HR manager in all related HR & Admin functions.
RESPONSIBILITIES
The Human Resources and Administration Assistant has the following specific responsibilities:
- Support the daily operations of HR functions and duties, contributing to the overall efficiency of the department.
- Organize and maintain both digital and physical HR documents, ensuring they are easily accessible and up to date for current staff and leavers.
- Prepare and submit requests for the insurance of staff and assist in the timely renewal of policies when due;
- Update and maintain employee records, including personnel files, onboarding documents, and compliance paperwork.
- Provide information and assistance to staff and supervisors on human resources and work-related matters.
- Ensure that staff records on HR systems and the HR portal are up to date.
- Support recruitment efforts by scheduling interviews, communicating with candidates, and preparing necessary documentation.
- Compile and assist with the long listing of candidates and invite shortlisted candidates for interviews.
- Reorganize the recruitment folder and ensure all the recruitment documents are maintained in accordance with the recruitment process.
- Manage volunteer contracts for the Jordan and Syria offices.
- Submit time sheets on the accounting software for staff in Syria.
- Submit leave requests on the Human Resource software for staff in Syria.
- Prepare purchase orders and payment request related with HR if necessary.
- Assist in the onboarding process for new hires, including preparing welcome materials and ensuring all paperwork is completed.
- Contribute to special HR projects and initiatives as needed and support in improving processes and workflows.
- Perform other job-related tasks as requested by the supervisor.
QUALIFICATIONS
The successful Human Resources and Administration Assistant must be a self-directed individual with the following qualifications:
Basic Qualifications:
- Bachelor’s degree in human resources or business administration or other relevant fields of study;
- 1-3 years’ experience in human resource management.
- Must speak and write fluently English and Arabic;
- Excellent interpersonal written and oral communication and presentation skills;
- Ability to multi-task and work with deadlines;
- Proficient in the use of Microsoft applications including Word, Excel, PowerPoint and outlook (or similar software);
- Strong problem solving, analytical and operational abilities.
- Ability to maintain confidentiality.
- Good knowledge of human resource practice, policies and procedures.
- Familiarity with local labor laws and regulations.
- Ability to build strong working relationships.
