Principal Responsibilities Human Resources ➢ Handles the administrative process of recruitment of new national staff. ➢ Ensures that pre-employment checks are completed and that all necessary paperwork is received from new staff. ➢ Ensures that employment contracts and employment letters are issued to all employees, finalized and submitted to head office in timely basis. ➢ Organizes induction programs for all new staff in line with MAG policy in coordination with Sector Manager and HR Coordinator at the head office. ➢ Prepares and submits the monthly staff attendance sheets to the Sector Manager and HR Coordinator at Head Office as required. ➢ Submits the monthly changes of the nominal rolls to the Sector Manager and HR Manager. ➢ Liaises with the HR Coordinator at the head office ensuring the timely provision of information to facilitate accurate payroll processing for all staff members. ➢ Oversee adherence to MAG organizational policies and procedures within the sector and advise and support staff accordingly. ➢ Assist in providing the necessary trainings for staff on MAG HR policies and procedures. Administration ➢ Maintain an office filing system for all correspondence, both internal and external. ➢ Organise any required travel document and letters of permission from the relevant authorities and political organisations in coordination with Sector Manager. ➢ Order all stationery and office supplies, and maintain adequate stocks in coordination with the Logistics Coordinator in the sector. ➢ Act as an intermediary for all visitors to MAG, and arrange appointments as necessary. ➢ Provide administrative support to resident or visiting international staff. ➢ Oversee the maintenance of a clean, organized, and professional environment throughout the base’s premises. ➢ Supervise the housekeepers, Maintenance Technician and the General Duties and ensure effective execution of tasks.
Essential Requirements ➢ Bachelor’s degree or equivalent experience in the role. ➢ Work and collaborate effectively within a team. ➢ Able to multitask, manage a heavy varied workload and work with minimal supervision. ➢ Able to credibly represent MAG. ➢ Honest and trustworthy. ➢ Flexible and adaptable. ➢ Proficient in verbal and written communications in English, Arabic and Kurdish languages. ➢ Excellent interpersonal skills with the ability to work with people from different backgrounds. ➢ Supervisory skills, ability to motivate and lead a small team. ➢ Proficiency in computer skills (specifically MS Word and Excel) ➢ A minimum of 3 to 5 years’ proven experience in HR field preferably within NGO sector. ➢ Good knowledge of Iraqi labor laws
