Hybrid – 4 days in the office / 1 day remote

This HR Assistant role is an opportunity to join one of the best US law firms in London where you will be working very closely with the HR Management teamHR Assistant will assist with the following HR functions:
Coordinate all new hire procedures. Preparation of employee orientation programmes, setting employees up on HR database, issuing departure checklists and archiving terminated files.
Update payroll and New York HR with any changes to employee status, including change in hours, job title, salary, leave of absences etc.
Maintain absence records on PeopleSoft. Creates quarterly and annual absence reports for HR Manager to monitor vacation and absence.
Organise Fund Raising Events for Charities.
Administration of the Work Experience Program.
HR Assistant requirements: Coordinates maintenance of employee file system, CV register, Work Permit file, correspondence and other records in the department.
Track authorisation for new hires in line with Headcount budget.
Track all training and development courses for support staff .
Provide first line advice to all employees on day to day enquiries regarding HR policies and procedures.
Assist Senior Human Resources Manager and Human Resources Manager with coordination of recruitment process including advertising vacancies internally, agreeing agency terms and arranging interviews.
Coordinate the joining and removal of employees to the Firm’s benefit schemes, prepares and distributes the annual benefits statements and coordinates the annual flu vaccinations.
Maintain the HR Guide and assists with HR projects as needed.
Perform other ad hoc administrative tasks to assist the Administrative Director and Human Resources Managers as needed.
Orders and distributes anniversary vouchers (10/20 years).
Work closely with the Graduate Recruitment Assistant to help with overall HR & Recruiting team cover.
Assist with the Summer Program.
HR Assistant Requirements:
12 months + HR experience at assistant/administrator level, preferably within legal services.
Knowledge of current employment legislation, best practice and potential developments.
Having a strong understanding of discretion and confidentiality.
Ability to demonstrate a flexible and hands-on attitude.
Excellent IT skills including Microsoft Office Suite (Word, Excel and PowerPoint).
Act as an ambassador for the HR team.
