Job Overview: 

The HR Coordinator is a high-functioning and detail-oriented position, responsible for overseeing a wide range of human resources functions to support a welcoming, inclusive, and equitable office culture. The position will focus on providing HR support to the IRC Northern California (NorCal) offices.  The position will serve as a point of contact for staffing issues as well as planning trainings and events to support the learning and development of the IRC Northern California teams. As an HR focal point, the position will support the office with onboarding, new staff orientation, staff recognition and celebrations, employee relations, and implementation of the office DEI action plan. This position reports to the regional HR Manager with a dotted line to the Site Director.

Major Responsibilities (including but not limited to): 

  • HR Knowledge and Information: Serve as a reliable source of HR policies, practices, and processes in response to employee and/or supervisor requests, ensuring compliance with internal and external standards and applicable labor laws, including state- and city-specific labor law. Support the development and refinement of key HR lifecycle processes as needed.
  • Employee Relations: Facilitate resolution of issues related to employee welfare needs regarding benefits, payroll, HRIS, Leave of Absences, and general employee questions.
  • Employee Relations: Collaborate with HR Manager on intake, recommendations, and supporting resolution of sensitive employee relation matters, performance management, and workplace investigations.
  • Talent Acquisition: Collaborate with program managers on job description development, job postings, review of resumes, interviewing, reference checks, background checks, and job offers.
  • Induction: Collaborate closely with team on new hire setup, new hire orientation, on-boarding, and training.
  • Talent Management: Collaborate with HR Manager in the development of local talent-development strategies.
  • Staff wellbeing: Support staff in accessing the employee assistance program, and other wellness supports, ensuring all staff know of available resources. Conduct stay and exit interviews.
  • Employee Exits: Complete separation forms and exit paperwork.
  • HR Administration: Manage and maintain local electronic office personnel records of employees and prepare paperwork with supporting documentation for all Workday transactions to include new hires, staff transfers, supervisory changes, separations, etc.
  • Regional support: In collaboration with the regional HR Manager, coordinate HQ initiatives related to the IRC Way, Duty of Care, Safeguarding, Anti-Sexual Harassment, and related content. Support managers in aligning practices with IRC’s Diversity, Equity & Inclusion and Gender Equality initiatives and policies.
  • Promote and actively participate in initiatives and efforts to build team engagement, inclusion, and cohesion in IRC Northern California.
  • IRC Way: model, promote, and upload a culture of values as reflected in our code of conduct, The IRC Way: Standards for Professional Conduct – Integrity, Service, Accountability, and Equality.
  • Other duties as assigned.

Job Requirements:

  • Undergraduate degree in business, non-profit management, public administration, or others related field preferred.
  • At least four years of related professional experience; preferably with refugee services and in a non-profit or social service environment.
  • Experience supervising staff preferred.
  • Self-directed and strong attention to detail.
  • Demonstrated ability to work with deadlines and lead multiple priorities in a fast-paced environment.
  • Good interpersonal communication skills and ability to effectively work in a multi-cultural work environment.
  • Fluency in English, written and spoken.
  • Ability to present to groups in a professional manner.

Working Environment: 

  • A combination of standard office environment, remote work, and ‘field’ time within the service delivery area to perform the above outlined responsibilities.
  • May require occasional weekend and/or evening work.
  • Flexibility to travel throughout the Northern California region as needed
