Responsibilities & Duties

The Human Resources (HR) Operations Manager role is a new position at CDP. This role will interact with a broad range of internal and external constituents and play a key role in support of our mission. Reporting to the chief financial and operations officer (CFOO), the HR operations manager will provide administrative and operational support to the human resources function and the organization’s workforce. Professionalism, the ability to cultivate relationships, and the flexibility to adapt to a growing organization’s changing needs and priorities are essential.

 

As a fully remote workforce, CDP prioritizes employee engagement and relationship building in service of a collaborative culture rooted in equity. To this end, in-person team retreats are scheduled throughout the year in different regions of the U.S. This role will be expected to attend 2-3 retreats per year, which average 3-5 days of travel.

Primary responsibilities include:

The HR operations manager will manage all aspects of human resources operations tasks, including recruitment administration, onboarding and offboarding processes, payroll coordination, administration of the Professional Employer Organization (PEO) platform (TriNet), administrative duties related to performance management, and organizational culture development.

The HR operations manager will be an active member of the growing operations team, which currently includes the director of finance, accounting manager and executive assistant to the CEO. This role serves as a trusted partner of the CFOO to deliver against CDP priorities in alignment with our mission and values centering equity.

This role requires the ideal candidate to have exemplary organizational and time management skills, impeccable attention to detail, and the ability to identify and propose process efficiencies. To perform this job successfully, the individual is expected to handle confidential personnel and organizational information while exercising professionalism and discretion.

 

Recruitment

  • Manage the recruitment process, including coordinating job description creation or revision, job posting, candidate screening, interview scheduling, and reference checks coordination, in accordance with CDP’s equitable hiring practices guidelines.
  • Administer and maintain applicant tracking system, including updating templates and key fields for maximizing the system’s use and metrics tracking.
  • Maintain a competency-based interview questions bank for hiring managers to use and reference. Assist in the development of competency/role-specific questions as needed.
  • Maintain recruitment files in accordance with established processes and document retention policy and procedures.
  • Maintain and update standard operating procedures (SOPs) related to recruitment processes.
  • Collaborate with hiring managers throughout the recruitment process, supporting each step as needed.

 

Onboarding

  • Manage the onboarding process, including coordinating all pre-employment tasks such as offer letter, benefits overview, equipment delivery and IT onboarding.
  • Conduct orientation for new hires and provide an overview of CDP’s operations and processes.
  • In collaboration with the director of finance, onboard new hires into the PEO platform.
  • Manage the HR workspace in Redbooth, CDP’s task management platform.
  • Maintain personnel files in Dropbox, ensuring compliance with regulatory requirements.
  • Schedule new hires’ first-week meetings as needed.
  • Maintain and update SOPs and onboarding documentation as needed.

 

Payroll and benefits coordination, PEO manager

  • Ensure payroll information is gathered for the bi-weekly payroll, including any personnel action changes (new hires, changes of status, termination requests, etc.).
  • In collaboration with the CFOO, coordinate the open enrollment process via the PEO platform. Effectively manage staff questions related to enrollment or renewals. Liaise between staff and TriNet as needed.
  • Manage overall vendor relationship with PEO (TriNet), including staying informed about platform changes and updates. Become an expert user of the tool to ensure CDP utilizes it to its maximum functionality.

 

Offboarding

  • Process CDP’s offboarding tasks and coordinate with different teams as needed.
  • Coordinate with IT vendor termination protocols and collect CDP’s equipment if applicable.
  • Close out employee personnel files and archives appropriately.

 

Performance management and organizational culture support

  • Process administrative tasks related to performance management, including tracking evaluations, work plans and other documents, are submitted to HR in a timely manner.
  • In collaboration with the CFOO, implement the performance management function in TriNet. Train staff on its use and document instructions as needed.
  • Coordinate access to Racial and Intersectional Equity (RIE) and other organizational culture-related resources for all staff.
  • Provide recommendations for the employee handbook, policies and procedures.
  • Understand and support the goals of the organization, performance objectives, etc., while helping enforce, explain, and teach policies and procedures.

 

Other duties as assigned

  • Serve on committees, panels and task forces at CDP as appropriate and as available.
  • Represent CDP positively and professionally in meetings and other external engagements.
  • Perform other duties and job-related tasks that may be assigned.

 

This position reports to the CFOO but works in service of the whole organization.

 

Required qualifications

  • ≤ 5 years of relevant, progressive professional experience in the human resources function.
  • Bachelor’s degree or equivalent work experience.
  • Working knowledge of the entire HR cycle.
  • Proven ability to complete multiple tasks with similar deadlines thoroughly, timely, and accurately.
  • Intermediate plus level skill in the utilization of Human Resources Information Systems (HRIS) systems.
  • An in-depth knowledge of Microsoft Office software, Outlook, Word, Excel and PowerPoint.
  • Familiarity with project management tracking methods.

 

Preferred skills and qualifications

  • Nonprofit work experience, including time tracking for restricted funding.
  • Ability to think strategically about process improvement.
  • Ability to work remotely with minimal direct supervision.
  • Strong oral and written communication and interpersonal skills.
  • Willingness to learn and grow.
