Key Responsibilities:

Payroll Administration

  • Manage in Implementing, maintaining, and reviewing of payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, allowances, and other payroll elements;
  • Ensuring payroll transactions are processed correctly for time, earnings, benefits, allowances, and other items that affect pay and /or WVEs liability;
  • Manage the accurate and timely processing of payroll updates including new hires, terminations, and any changes to pay;
  • Lead compensation/payroll administration, reconciliations to Popay with Workday outputs;
  • Assist in salary, benefits, and compensations related surveys;
  • Prepares and maintains accurate records and reports of payroll transactions;
  • Facilitates audits by providing records and documentation to auditors;
  • Respond to payroll inquiries from WVE employees;
  • Follow up the mitigation plan for all payroll related risks and assist in preparation of mitigations report;
  • Provide accurate monthly, quarterly and annual report of payroll administration.
  • Work closely with all P&C staffs and Finance to increase performance and ensure on time payment.
  • Maintaining accurate records of payroll documentation and transactions.
  • Maintaining confidential information by adhering to legal and ethical standards
  • Stay up-to-date with tax laws and any changes in employment regulations to ensure compliance.
  • Conduct audits to ensure proper payroll procedures and compliance with internal policies.
  • Collaborate with P&C business partners to ensure compliance with all employment laws, regulations, and policies.
  • Develop and maintain payroll procedures and documentation to ensure consistency and accuracy.

Benefits and Compensation

  • Follow up timely reporting of accident and facilitate insurance process with staff and insurance company.
  • Make sure reporting (end to end report) of all staff incidents on the reporting platform to EARO and keep records;
  • Provide monthly updated list of staff benefited through life insurance, GPA and pensions timely and consistently;
  • Closely monitor and follow up on the reimbursement of salary on sick leave days from insurance companies;
  • Administer benefit programs, consult with and advise employees on eligibility for all insurance (GPA & Life Insurance);
  • Assist in renewal of contracts with insurance companies.
  • Participate in the procurement process of new insurances policies;
  • Assist the staff separation process, termination benefits, payments and ensures timely completion of clearance;
  • Facilitate the process of implementing pension proclamation requirements for the NO staff;
  • Follow up that all WVE staff have PESSA identification Card, and their file is properly updated;
  • Facilitate and follow up that all staff are enrolled for PESSA ID Card, insurance, taxes, etc.
  • Liaises with concerned government offices in relation to staff pension process, taxes, data updates etc.

Workday/ P & C Information System

  • Ensures all the new/rehire employee required payroll, benefits and compensation documents that are used to feed data into the database are complete;
  • Make sure payroll system Popay is accurate with workday by regular reconciliation
  • Work closely with workday analyst to ensure data accuracy
  • Ensure new/rehire data (Payroll data, change, increment, etc.) are reflecting in workday accurately;
  • Updates monthly P&C-Payroll reports and ensure they are timely and accurate;
  • Follow up monthly reconciliation of payroll information;
  • Perform a regular audit on Workday Vs Popay reconciliation and report the findings with possible resolution action plan
  • Performs other People and Culture duties as assigned by the supervisor

KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

Required Professional Experience

  • Five years of experience in a relevant human resources professional role, payroll, Benefit & Compensation, etc.
  • A combination of Human Resource experience in the following areas: Remuneration, Benefits & Compensation, Payroll administration and HRIS.

Required Education, training, license, registration, and certification

  • Bachelor’s degree required in HRM, Management, Business Administration, or related field along with equivalent practical experience.

Preferred Knowledge and Qualifications

  • Excellent oral and written communication skills
  • Strong computer literacy on Microsoft Office applications
  • Proven experience in a cloud payroll system
  • Expert at meeting deadlines while maintaining compliance and regulatory standards
  • Capable of providing a balanced and common-sense approach to routine and complex issues
  • Detail and deadline-oriented individual who excels in both the technical and customer service aspects of payroll.
  • Proven experience in a payroll/B&C position in organization with a 1000+ employees required
  • Knowledgeable of Ethiopian Labor Laws, Tax laws, Pension laws and relevant requirements.
  • Trustworthy with attention to confidentiality

Travel and/or Work : Travel up to 15% of time

Language Requirements: Fluent in English
