The Opportunity – Human Resources Assistant
Post location: oPt Country Office – Ramallah
Contract Duration and Level of Effort: 1 year
The HR Assistant will help the CO HR Recruitment Team with the administration of the Recruitment processes, staff Onboarding procedures, the day-to-day operations of the organization’s human resources department and to ensure compliance with Save the Children policies and procedures.
In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.
SCOPE OF ROLE:
Reports to: Human Resources Manager.
Staff reporting to this post: no direct reports.
Budget Responsibilities: None.
KEY AREAS OF ACCOUNTABILITY:
Key Area 1: General HR Support/Operations:
- Assist in completing SCI-required reports as needed and under the supervision of the line manager.
- Assist in supporting the audit process and requirements.
- Maintain confidentiality of all sensitive HR information at all times.
- Make sure that all personnel files are updated including e-archiving assuring confidentiality, accuracy, and as per SCI standards.
Key Area 2: Recruitment:
- Support the HR Recruitment Team in oPt country office and Gaza Field office in the recruitment process.
- Assist in opening the requisitions on SCI recruitment system and launching/advertising on the different job boards.
- Support the CO Recruitment process in longlisting, scheduling Tests and interviews while ensuring child safeguarding standards are met during the process.
- Assist in preparing the interview packages. Ensure sharing the pre-read documents of SCI mandatory policies with shortlisted candidates prior to attending any interview.
- Ensure having the proper documentation of performed recruitment processes, from sourcing to offering stage. Liaise with recruiters and/or panel members to ensure full documentation of the recruitment process is in place.
- Help in ensuring that the recruitment process is reflected on SCI recruitment system from the job opening until the on boarding.
- Help in ensuring the recruitment tracker is updated regularly and share with the HR Manager.
Key Area 3: Staff On-boarding, Passport to success:
- Assist in the coordination needed for structured induction (passport to success) for new hires.
- Ensure all new joiners receive the global and local induction in addition to the functional inductions.
- Help HR Recruitment Officer in ensuring all new employees are well oriented to SCI policies & Procedures.
- Support in the onboarding of new hires, national and international, ensuring email activation and HRIS (ORC) account activation.
- Liase with the CO IT and Admin teams for new joiners’ preparation, office and ICT.
Any other duties as assigned by the line manager or the designate.
In order to be successful you will bring/have:
QUALIFICATIONS
- Diploma, BA in Business Administrator, Human resources, or any related field.
- Certificate course in HR is preferable.
EXPERIENCE AND SKILLS
Essential
- 2+ years of relevant working experience in the same field of HR.
- Good understanding of HR administration-related issues, basic on general HR management, knowledge on office management and filing
- Maintaining confidentiality, documentation & filing skills
- Excellent interpersonal communication skills, very accurate in drafting letters and emails
- Very good in database information management, MS Office, and email.
- Excellent time management skills.
- Commitment to Save the Children values.
- Ability to work as part of a team and work under pressure.
- Ability to learn new technologies and can implement.
- Systems friendly user, can work easily with new systems and implement new technologies in HR.
- To be non-discriminatory and gender-sensitive.
- Good in both English & Arabic, written and spoken.
