Ensures all payroll variables are collected, encoded, salaries processed as per monthly payroll calendar
Organize the filing for all staff files, social security and income tax documents, contracts for both locally hired staff and service agreements
Ensures all new hire onboarding documents and files are organized
Ensures all housing, external services agreements are filed and archived
Support administrative part of recruitment and hiring, manage filing of documentation
Manage and follow up on the Admin stock, coordinate with supply department for the needed items, consumption checks and create follow up sheets
Supervise cleaners and cook daily tasks, leaves and schedule
Prepare monthly and annual reporting for Social security and ensure follow-ups in the right manner
Prepare monthly reporting for Income tax and liaise with FinCo Assistant where required
Work closely and act as a back-up to support the Admin Transit where required
Support the HR Assistants in the project with labor law, social security related follow-up in Baghdad
Assist the HRCo with locally hired staff in HR, learning & development matters and administrative tasks
Support the HRCo in rolling out new/revised regulations, guidelines and policies in the mission
Support the HRCo in implementing the L&D policies and program
Support the HRCo in overall digitizing of HR files in the mission
Assist the HRCo in implementing fit to purpose programs and maintaining safe work environments to ensure conducive atmosphere the resonates with MSF ethos.
Support the HR department as required
Qualifications & Preferred Skills
Education:
Essential Diploma or University Degree. Specialization in organization development, human resources management, organizational psychology or administration related studies, desirable
Essential, working experience of minimum 2 years in relevant roles as liaison, Human Resources Office or relevant fields
Experience:
Demonstrated knowledge of HR Administration and management
Strong communication, interpersonal, and facilitation skills, with the ability to engage effectively with staff and external stakeholders in the labour and social security office
Proven ability to implement HR policies and guidelines
Desirable Desirable experience with MSF or other NGOs in Baghdad or other regions in the country
Desirable: Experience in supervising teams of service staff/minimum 2 people.
Language:
Essential: English & Arabic (spoken & written).
Knowledge:
Good written and oral skills.
Strong empathetic ability, as well as a mental fortitude to function in a diverse & multicultural environment
Desirable experience in policy implementation and roll out
Desirable experience in payroll management
Desirable experience in onboarding and induction
Desirable experience in a multicultural and diverse environment
Essential, working knowledge of MS-Office, Outlook, and ERP tools
Good understanding of local labour laws and social security processes
