Counterpart International is seeking an Associate to join our Quality Assurance Unit (QAU). The QAU Associate is a member of a team of professionals working under the supervision of the QAU Sr. Director. The QAU team is responsible for establishing best practices, policies, procedures, and tools for program implementation; ensuring knowledge sharing amongst projects; supporting startups and close downs to ensure efficiency; and training Program Delivery and project staff. The QAU Associate aids with developing workflows, process maps, templates, and other project operations and budget-related tools; and provides logistical, project management, and budget related support. Moreover, the QAU Associate assists the QAU Program Budget Manager with compiling and entering data on project budgets, preparing portfolio wide budget analyses, and providing troubleshooting support to programs so tools function properly. The QAU Associate reports to the QAU Sr. Director.
Responsibilities
QAU general support
- Work with QAU Sr. Director to identify and solve service delivery challenges and ensure project operational needs are met in a timely way.
- Assist the QAU Sr. Director with project start-up and close-down to ensure essential/high risk tasks are completed within deadline.
- Identify and propose solutions to solve service delivery challenges and ensure project operational needs are met in a timely manner.
- Escalate operational risk to appropriate departmental leadership.
- Research and compile information for projects as requested by QAU Sr. Director or other Counterpart leadership.
- Manage QAU consultant agreements, tracking and processing payments for consultants and vendors.
- Draft, edit, or update PSU workflows and process maps.
- Provide administrative and logistical support for QAU training or other activities and staff travel arrangements.
- Develop and maintain positive working relations with departments within Counterpart (Communications; HR; Grants, Contracts, and Compliance; Finance; and other divisions).
- Take notes of recurring QAU team meetings and share minutes; organize ice breaker and team building activities.
Project budgeting management
- Assist the QAU Sr. Director and Program Budget Manager as follows:
- Prepare periodic and annual project budgeting/forecasting exercises to ensure timely completion within quality standards
- Enter actual spending data in project budget trackers
- Draft financial reports such as periodic project dashboards, financial reports and summaries, backlog reports, and ad hoc requests from the Finance or the Senior Leadership Team
- Troubleshoot problems that arise in project budget tracking tools and systems
- Provide ongoing guidance to program teams regarding use of budget tracking tools and systems to ensure accuracy, maximize efficiency, and enhance performance
- Propose ideas and develop additional streamlined project budget management tools as needed
- Develop and deliver training sessions, as necessary, for Counterpart US and project offices on budget management and use of CI budget tracking tools
- Share guidance on project financial controls and compliance
- Champion improved operational efficiency for budget management best practices and support
- Other tasks as assigned.
Qualifications
- Bachelor’s degree in business administration, political science, international development, education, training, or related field
- Minimum of three years’ work experience in international development sector or programs; or equivalent combination of education and experience
- Strong Internet and computer software skills, including MS Office Suite programs; skills and interest in Excel preferred
- Experience in utilizing ERP systems, including QuickBooks, NetSuite, Cognos and Deltek, preferred but not required.
- Strong written and verbal communication skills
- Ability to work in multi-cultural and lingual settings
- Strong interpersonal skills
- Ability to multi-task and work under pressure with attention to detail
- Willingness to travel to support programs as needed
- Fluency in written and spoken English is required, and Spanish, Portuguese, or French preferred.
The salary range for this position is $43,594-$69,750 annually.
