Overview of position:
This position is in the facilities environmental management section.
The role primarily involves the maintenance of fixed assets records for the organization.
They have a functional relationship & closely liaise with the Property Management Unit (PMU) & Finance & Budget Unit (FBU).

Within the delegated authority from the Chief of Facilities & Environmental Management Unit FEMU the selected candidate shall be responsible for the following duties:
Creates & modify notification for equipment / property assignment, verification, write offs, etc.
Review the units’ equipment inventory for impairment, damage, end of useful life.
Performs Good Issue (GI) & receipt in stock in UMOJA.
Maintain & modify equipment data record for user assignments, functional locations & condition update.
Coordinate with PMU to assess & resolve physical verification discrepancies & data quality issues.
Monitor stock levels of commodity held in the central warehouse & other storage locations.
Coordinate with offices requesting inventory to ensure all relevant information is provided to enable the prioritization & approval of reservations & GI.
Process hand over vouchers for equipment transfers between users.
Coordinate with internal technical cells on initiation of procurement as needed for inventory replenishment.
Coordinate yearly impairment review of assets with internal technical cells.
Coordinate with the central warehouse for GI, Transfer Order (TO) confirmation & goods pick up.
Maintain electronic filing system to manage GI slips, written off documents, hand over documents, etc.
Monitor the movement of equipment & stock in UMOJA.
Manage stock surplus & equipment conditions.
Reconcile material IDs.
Ensures the accurate compilation of Asset Under Construction (AUC) project costs.
Perform other duties as required by the Chief of Unit.

Project reporting:
This role reports to the line manager.

Key competencies:
University degree in accounting, logistics, engineering or its equivalent is required with a minimum of five years of progressively responsible experience in supply chain, inventory management, logistics, procurement, administration or related area is required.
Two years of work experience at the international level is required.
Experience providing logistics & supply chain support services in a volatile, conflict or post conflict environment is desirable.
Experience working with Enterprise Resource Planning (ERP) systems or similar in the areas of scheduling, inventory control, procurement & / or logistics processes is desirable.
Fluency in English (both oral & written) is required
Knowledge of IPSAS requirements in relation to fixed assets. Knowledge of property management & / or real estate. Ability to apply conceptual, analytical & evaluative skills in accounting operations. Ability to conduct independent research & analysis, identify issues, formulate options & make conclusions & recommendations. Shows pride in work & in achievements, demonstrates professional competence & mastery of subject matter; is conscientious & efficient in meeting commitments, observing deadlines & achieving results, is motivated by professional rather than personal concerns, shows persistence when faced with difficult problems or challenges, remains calm in stressful situations.
