Location:

The IDB Invest, a member of the Inter-American Development Bank Group (IDBG), is a multilateral organization based in Washington, D.C. committed to the development of Latin America and the Caribbean (LAC) through the private sector. As part of its mission, the IDB Invest supports the private sector and state-owned enterprises through financing in the form of loans, equity investments, and guarantees. The IDB Invest also supports and collaborates with clients through the provision of advisory and training services.

About this position:

Within IDB Invest, The Development Effectiveness Division (DVF), within the Development and Strategy Department, is responsible to instill and ensure the development effectiveness of all IDB Invest activities. It establishes and oversees compliance with evaluation standards to guarantee development results from IDB Invest interventions during origination and implementation. Such evaluation standards will ensure relevance, efficiency, effectiveness, as well as financial sustainability. DVF is also responsible for the ex-post evaluation, impact evaluation, and testing of innovative approaches at IDB Invest.

Consultancy objective: The Business Support Consultant will perform day-to-day administrative and business support activities to ensure the provision of services and execution of processes within the division. The consultant will support the coordination of projects undertaken by the division. He/she will work with the Resource Planning and Administration Officers to effectively manage multiple and changing priorities. The Business Support Administrative consultant will report to the Development Effectiveness Division Chief.

What you’ll do:

The selected candidate will

  • Work in coordination with other members of the Business Support team of the department.
  • Coordinate general office administration matters, ensure proper logistics, prioritization of support activities and resources for the assigned business area.
  • Monitor the administrative budget of the business area. Generate budget projections and support the Division Chief to prioritize allocation of resources.
  • Support all Human Resources processes within the division for any Staff and Consultant positions.
  • Coordinate the hiring process of external consultants and payment processing upon approval of deliverables.
  • Review all Travel Authorizations and Statement of Expenses of the team, ensuring business travel procedures are being applied and resources are being properly allocated.
  • Manage and process travel arrangements for the Division Chief and principal officers!
  • Monitor and coordinate all other financial transactions such as reimbursements, petty cash, and p-card payments.
  • Support the annual reporting process and additional transactions related to Technical Cooperation (TCs) assigned to the division.
  • Conduct research, analyze information. and provide inputs to support projects conducted by members of the division.
  • Support the process to assign of projects and task related to IDB Invest and BID Lab operations.
  • Obtain and organize operational information to support projects conducted by members of the division.
  • Recommend improvements and solutions to existing processes in the Division/Department to ensure efficiency.
  • Manage a calendar of appointments, following up on correspondence/phone calls and on incoming issuesandconcernsaddressedtotheDivision Chief, includingthoseof asensitive or confidential nature.
  • Assist in the organization of business meetings in which Division Chiefs and Managers are participating.
  • Maintain office supplies inventory anticipating future needs, placing and expediting orders for supplies.

What you’ll need:

  • Education: Associate degree or a Technical Diploma from an accredited University in Business Administration, Accounting, or related fields
  • Experience: Less than 2 years of demonstrated experience working in business support, managing agendas, travels and events and overall administration process is required, preferably in multinational and multicultural environment.
  • Languages: Oral and written proficiency in English and Spanish required.

  • Demonstrated capacity to coordinate and provide virtual and just-in-time support under demanding situations.
