Organizational Context

 

The International Federation of Red Cross and Red Crescent Societies (IFRC) is the world’s largest humanitarian organization, with a network of 191-member National Societies. The overall aim of the IFRC is “to inspire, encourage, facilitate, and promote at all times all forms of humanitarian activities by National Societies with a view to preventing and alleviating human suffering and thereby contributing to the maintenance and promotion of human dignity and peace in the world.” The IFRC works to meet the needs and improve the lives of vulnerable people before, during and after disasters, health emergencies and other crises.

The IFRC is part of the International Red Cross and Red Crescent Movement (Movement), together with its member National Societies and the International Committee of the Red Cross (ICRC). The work of the IFRC is guided by the following fundamental principles: humanity, impartiality, neutrality, independence, voluntary service, unity, and universality.

The IFRC is led by its Secretary General, and has its Headquarters in Geneva, Switzerland. The Headquarters are organized into three main Divisions: (i) National Society Development and Operations Coordination; (ii) Global Relations, Humanitarian Diplomacy and Digitalization; and (iii) Management Policy, Strategy and Corporate Services.

The IFRC country cluster for North Africa, based in Tunis, Tunisia supports two national societies in the region and Libya Delegation.

 

Job Purpose

 

To assist in administrative activities and delivering efficient service and support to the administrative department.

In return, the intern will benefit from this experience by learning how to manage building services, how to implement a plan and project within the administrative department in coordination with other departments and colleagues from the region, and the basic concept of procurement processes.

 

Job Duties and Responsibilities

 

The intern will carry out the following specific tasks:

1. Welcome Services
• Ensure that telephone calls are professionally answered.
• Ensure that the reception area and meeting rooms are well maintained and kept clean.

2. IFRC vehicle

• Collect the mileage and fuel report and shared with Admin officer. maintenance, and repair on fleet wave and on new vehicles registration process.
• Follow up on maintenance, and repair with the Car rental agency.

3. Office Administration

• Arrange flights for IFRC staff who are not based in the cluster office, arrange transport pick up and drop off all incoming and outgoing persons.
• Update and enhance the office’s inventory checklist.
• Support in filing and archiving processes within the administration department.
• Maintain stationery stock, organise re-ordering when necessary.
• Order business cards.
• Keep and order a stock of housekeeping’s consumable material (coffee, water, cleaning material).
• Conduct basic admin. procurement processes with the support of admin officer.
• Assist in the process of events management.
• Prepare and submit visas and residencies files to the respective entities and follow up on their issuance, expiry dates and renewals with the guidance and support of the admin officer.
• Assist in the office’s maintenance where needed.

4. General Services
• Undertake daily support to those working in the office.
• Ensure all office errands (registration of contract, sending courier via poste, extract bills, etc…)
• Fulfil any other tasks which may be reasonably assigned by the line manager

Collaboration modalities

Administration Officer will take on the role as main responsible for the intern and will provide supervision for the person. However, he/she would be expected to work most closely on a day-to-day basis with different unit members and regional technical counterparts among others.

Reporting line/management/ supervision

The intern formally reports to the IFRC NACC Administration Officer.

Length of the assignment

The duration of the assignment will be 3 months, starting 6th of January 2025, with possibility of extension.

 

Education

 

• The intern must be enrolled in an undergraduate or graduate degree programme from a recognized university in one of the following areas: Administration, business management and other related areas. – Required

• The intern must have attended courses in the last 12 months and have completed at least two years undergraduate studies. – Required

 

Experience

 

• 3 or 4 internships within the administration experience in dealing with admin services (dealing with hotels and other service providers, travel arrangement) – Required

 

Knowledge, Skills and Languages

 

Knowledge and Skills

• Understanding of the humanitarian context – Required

• Ability to work in a fast-paced, diverse cultural context – Required

• Good working knowledge of Microsoft Office (Word, PowerPoint, and Excel) – Required

Languages

• Fluently spoken and written Arabic & English – Required

• Fluently spoken and written French – Required
