OVERVIEW OF THE FUNCTIONS OF THE POST

1. BACKGROUND AND OBJECTIVE

To enhance the visibility and impact of UNESCO’s work in the region, the UNESCO Regional Office in Bangkok (UNESCO Bangkok) is seeking talented individuals to join a roster of graphic designers. The qualified candidates will be added to the roster and selected for projects on an ‘on-call’ basis to support on publication, document and communication material design projects.

The call is open to individuals of any nationality who can provide the requested services and deliverables. The roster will be valid from 1 August 2024 to 31 December 2024 and subject to renewal annually. 

The themes of potential design projects include education, culture, communication and information, social and human sciences, ocean sciences and natural sciences.

 

2. TERMS OF REFERENCE

The candidates shall specifically perform the following:
a. Undertake assignments to provide high-quality design and layout services that are compatible with print and online formats;
b. Receive assignment brief and coordinate with the Responsible Officer(s) to report on the progress by email, online meetings or phone;
c. Strengthen UNESCO’s gender strategy by incorporating gender balance into the design and ensure that the design is respectful of diverse stakeholders and communities;
d. Ensure that the design and layout comply with ‘UNESCO Graphical Standards and Logo Toolkit’ and other relevant guidelines/manuals (to be provided by UNESCO);
e. Demonstrate mastery of standard design software, especially Adobe InDesign, Illustrator, and Photoshop, and competence in using the suitable software for the specific assignment; 

f.  Use interchangeable and transferable fonts between PC and Mac;
g. Avoid including maps (global, regional, country) in the design that could be politically sensitive or could affect the legal status of any country, territory, city, area, its authorities, or the delimitation of its frontiers or boundaries;
h. Secure the intellectual property rights when photos, illustrations, icons and other graphic elements are not provided by UNESCO; 
i. Ensure that the design is in full compliance with international property copyrights policy;
j. Submit the first-round design in PDF format with comments and notes, if required;
k. Improve and incorporate suggested changes to finalize the design until it is deemed satisfactory;
l. Submit ready-to-print PDF file and a package of final artwork file (including resourced links and employed fonts) for archiving;
m. Coordinate with the printer for any technical issues, if required; and
n. Strictly meet the committed deadline.

3. SCOPE OF WORK AND SPECIFICATIONS FOR SERVICE RATE PROPOSALS
The candidates must propose their ‘service in flat rates per page in US$’ by using the ‘standard service rates form’ (click link to download).

2. Document [16 pages or more] and [less than 16 pages]
3. Communication material (backdrop, booklet, bookmark, brochure, calendar, certificate, flyer, folder, infographic, leaflet, notebook, poster, postcard/greeting card, roll-up banner/x-stand, social media tile, vinyl, etc.) 

 

  • Size: standard (A4, A5, etc.) or customized
  • Colour: 4
  • Bleeding space: 3 mm.
  • Softwares: Adobe InDesign, Illustrator, Photoshop
  • Elements: photo, illustration, icon, figure, table, etc
  • File format: ready-to-publish PDF (online and print) and editable final artwork file (including resourced links and employed fonts)
  • Feedback/revision circle: until deemed satisfactory
  • Sample of publications, documents and communication materials (provided in the ‘standard service rates form’ above)

 

4. DUTY STATION

The assignment will be remote-based (off-site) and on an ‘on-call’ basis, with regular communication with the Responsible Officer(s) via email, online meeting, and phone; no travel is anticipated.

 

5. FACILITIES TO BE PROVIDED BY UNESCO (if any)

The candidate will be responsible for their facilities and equipment such as computer, software and printer to be used during the assignment.

REQUIRED QUALIFICATIONS

Education:
University degree and/or professional training in graphic design, visual art, communication design, illustration or other related fields that demonstrates a strong foundation in design principles, software proficiency, and theoretical knowledge.

Work Experience:

  • Minimum 5 years of professional graphic design experience, particularly in publications, documents and communication materials.
  • Previous experience working with UNESCO, other UN agencies and/or other multicultural environments is an advantage.

 

Skills/Competencies:

  • Craft engaging design and translate it into visually compelling outcomes.
  • Collaborate effectively with strong communication skills.
  • Ability to work independently and meet the required deadlines.
  • Demonstrate compelling design for specific target audiences.
  • Possess a strong understanding of design principles (composition, colour theory, typography, etc.)
  • Proficiency in industry-standard desktop publishing software, especially InDesign, Illustrator and Photoshop with artwork file management skills.
  • Utilize typography for optimal legibility, hierarchy, and design enhancement.
  • Troubleshoot and manage last-minute changes and coordinate with the printing provider.
  • Work efficiently under tight deadlines and revision cycles.
  • Adhere to in-house branding guidelines, style manuals and templates.
  • Stay up-to-date on the latest design trends and technologies. 

Languages:

  • Fluency in English (both oral and written) is required.
  • Proficiency in Thai is an asset. 
     

INTELLECTUAL PROPERTY RIGHTS

UNESCO shall be entitled to all property rights, including but not limited to patents, copyrights and trademarks with regard to all materials which bear a direct relation to, or is produced in consequence of, the services provided to the Organization by the candidates.

The candidates will grant to UNESCO exclusive worldwide right including the editable artwork file to exploit, to publish, to reproduce, to diffuse, to communicate to the public, etc., in any form and on any support, including digital, all or part of the work and to license these rights to third parties on the basis of the rights herein vested in UNESCO. The candidates warrant that:
a. The work made under the assignment is created by the candidates and candidates are the sole and unrestricted owners of the exclusive rights in the work;
b. The work made under the assignment is free from encumbrances and no third party is entitled to any intellectual property rights with regard to the work; and
c. No third-party rights have been infringed upon in the making of the work.

d. Standard service rates form: provide your ‘flat rate’ for each type of design work (see item ‘3. SCOPE OF WORK…’).

4. Combine and upload all five items (employment history form, cover letter, CV, portfolio and standard service rates) as a single file.
