Psiton Summary 

​​HAI in partnership with UNHCR is conducting one-year project to support the Refugees and Asylum seekers and IDP/Returnees through Case management – PSS – MHPSS and Access to Justice, community engagement and participation plus protection monitoring and advocacy, IDA ( Information Desk Assistant) role will report to the Accountability and Outreach Team Leader and will receive guidance from the project manager. The IDA will be responsible for managing the front office operations at the Kirkuk CSC, which includes welcoming Project Participants, directing them to the appropriate service or department, answering phone calls, and addressing any inquiries regarding the organization/project.​ 

Essential Duties and Responsibilities 

Essential Duties and Responsibilities: The IDA will be stationed at the Kirkuk CSC and will report directly to the Accountability and Outreach Team Leader. As a member of the project team, the Receptionist will be responsible for the following tasks: 

 

  • Greet visitors and people of concern either in person or via phone and direct them to legal/protection consultation rooms and the complaint box. 
  • Ensure a clean and secure reception area by adhering to procedures, regulations, and rules. 
  • Maintain continuity among work teams by documenting actions, continuing needs, and irregularities. 
  • Offer initial information to service recipients (Refugees and IDPs). 
  • Plan and schedule registration days for refugees at the Kirkuk CSC. 
  • Monitor and manage visitor flow to the community center. 
  • Enter data for Project Participants and visitors, including all relevant details. 
  • Support the CSC Administration staff with weekly and monthly duties. 
  • Follow Heartland Alliance International policies and principles, as well as international human rights and humanitarian principles, including gender equality and child safeguarding. 
  • Collaborate and communicate with supervisors, team leaders, and coworkers. 
  • Submit daily, weekly, and monthly reports as directed by the supervisor or Project Manager. 
  • Respond to inquiries related to the organization or project. 
  • Schedule appointments and arrange follow-up visits. 
  • Perform basic bookkeeping, clerical, and filing duties. 
  • Carry out other assigned tasks and responsibilities by the direct supervisor or Project Manager. 

Qualifications & Preferred Skills

  • Bachelor or Diploma degree in Administration or other related field.  
  • Minimum 1-2 years of relevant experience working with NGOs in humanitarian settings. 
  • Demonstrated understanding of protection principles. 
  • Experience with Windows platform, including Word, Outlook, Excel, etc. 
  • Excellent oral communication skills. 
  • Excellent negotiation and relationship management skills, with the ability to proactively problem solve and find solutions 
  • Proven ability to calmly, professionally, and successfully manage multiple priorities

  • Strong organizational skills 

 

Language Skills: Fluent in Arabic (Mandatory), Kurdish and Turkish.  

 

 

English Proficiency Level Required: ​Intermediate​ 

Arabic Proficiency Level Required: ​Advanced​ 

Kurdish Proficiency Level Required: ​Advanced​ 

Turkish Proficiency Level Required: ​Advanced​ 

 

Other Skills and Qualifications (required):

Competencies required for the job 

Physical Demands:  

  • Lives in Kirkuk district 
  • Must work in the duty station is in the Community Support Center in Kirkuk city center 5 days/week, 8 hours/day. 
  • While performing the duties of this job, the employee is regularly required to talk and hear.  
  • While performing the duties of this job, the employee is frequently required to sit; use hands to handle or feel and reach with hands and arms.  
  • While performing the duties of this job, the employee is occasionally required to stand; walk; climb or balance and stoop, kneel, crouch, or crawl.
