Position Summary 

HAI in partnership with UNHCR is conducting one-year project to support the Refugees and Asylum seekers and IDP/Returnees through Case management – PSS – MHPSS and Access to Justice, community engagement and participation plus protection monitoring and advocacy, whereas The Information Management Assistant (IMS) will be based in Kirkuk, Iraq with frequent travel to project target locations as security allows, and will work directly under the supervision of the IM officer/MEL and Program Manager. The IMA is a member of the MEL team and will be responsible for verify and check the uploaded data by project team, data quality check/data assurance and designing forms/data 

Essential Duties and Responsibilities 

  • Assist in designing and implementing information management systems and processes for the child protection and juvenile justice program, ensuring alignment with program objectives, international standards, and best practices. 
  • Support the development of user-friendly data collection tools and methodologies, ensuring compliance with the program’s monitoring and evaluation framework. 
  • Contribute to the collection, analysis, and timely reporting of program data, emphasizing accuracy and completeness. 
  • Provide hands-on support and guidance to program staff, partners, and stakeholders on information management, including data collection, analysis, and application. 
  • Participate in routine data quality assessments to uphold the accuracy, completeness, and reliability of information. 
  • Assist in producing program reports and information products, including dashboards, charts, and maps, to facilitate program management and decision-making. 
  • Collaborate in the maintenance and update of program databases and information management systems, ensuring secure data storage and protection. 
  • Support the delivery of training sessions on information management systems and processes for program staff, partners, and stakeholders. 
  • Engage in program monitoring and evaluation activities, ensuring the alignment of information management systems with program objectives and priorities. 
  • Assist in implementing controls to ensure data integrity and security. 
  • Provide support in technical areas such as data storage structures, data mining, and data cleansing. 
  • Identify and define opportunities for process improvement, contributing to the overall efficiency of information management practices. 
  • Undertake any additional duties assigned by the Information Management Officer and Program Manager.

Qualifications & Preferred Skills

  • Bachelor’s degree in information management, statistics, computer science, or a related field. 
  • Minimum of 2 years of relevant experience in information management, data analysis, or a related field, preferably in the humanitarian or development sector.Strong understanding of information management systems and processes, including data collection, analysis, and use. 
  • Proven ability to develop and implement effective information management systems and processes, including capacity building and technical support activities. 
  • Strong interpersonal and communication skills, with the ability to work effectively with a range of stakeholders, including program staff, partners, and stakeholders. 
  • Ability to work independently and as part of a team, with strong organizational and time management skills. 
  • Excellent oral and written communication skills in English and Arabic. 
  • Proficiency in data management and analysis software, including Excel, Access, and statistical software such as Commcare – Activity Info 
  • Willingness to travel frequently within project locations. 

Interpersonal and Technical Skills: add the required competencies and desired software knowledge 

Technical Skills: 

  • Knowledge of information management systems and processes, including data collection, analysis, and utilization. 
  • Proficiency in data management and analysis software, including Excel, Access, and statistical software such as Commcare – Activity Info. 
  • Familiarity with data visualization tools such as Tableau or Power BI. 
  • Understanding of monitoring and evaluation frameworks and methodologies. 
  • Familiarity with information security and data protection best practices. 
  • Attention to detail and accuracy in data management and analysis. 

Interpersonal and Communication Skills: 

  • Strong communication skills, conveying complex information to diverse audiences. 
  • Supportive facilitation skills, aiding in leading training sessions and meetings. 
  • Problem-solving and conflict resolution skills, effective in challenging environments.
