Duties and Responsibilities

This position is located in the Headquarters Client Support Service (HQCSS), Division of Administration, New York, Department of Operational Support (DOS). The Department of Operational Support was established to provide operational advisory services to operating entities across the Secretariat, including other departments, offices away from headquarters, field missions, and regional commissions.

The HQCSS also provides administrative support to a number of offices, including:

  • Office of the Special Representative of the Secretary-General on Sexual Violence in Conflict;
  • Office of the Special Representative of the Secretary-General on Violence Against Children;
  • Office of the Special Representative of the Secretary-General on Children and Armed Conflict; – Ethics Office; – Global Compact Office; – Human Security Unit; – Office of Administration of Justice; – Office of Information and Communications Technology; – Office of the United Nations Ombudsman and Mediation Services; – Office of Special Envoy for Haiti; – Office of Victims’ Rights Advocate; – Office of Special Coordinator on Improving the United Nations Response to Sexual Exploitation and Abuse; – United Nations Office for Partnerships;
  • The liaison offices of the United Nations Office on Drugs and Crime and the United Nations Convention to Combat Desertification in New York. The internship is for a minimum of 3 months with a possibility of extension up to 6 months depending on the needs of the office. An intern is expected to work four to five days per week remotely or in the office to which they assigned, carrying out their tasks under the supervision of the supervisor (total of 20 to 35 hours per week). Our interns work as full members of our team, pursue projects that are designed to make a significant difference in the HQCSS, and have opportunities to learn about the United Nations overall. Daily responsibilities will depend on the individual’s background, the business unit to which they are assigned and the period during which they will undertake the internship. The intern works as a full member of our team and has opportunities to learn about the United Nations overall.

Duties will include:

  • Assist with routine administrative tasks related to the work of the Executive Office HR Section/Non-Staff.
  • Assist in the review of documents submitted to ensure their validity, completeness, and accuracy of on-boarding and extension requests from client offices in line with UN staff rules and regulations.
  • Draft responses to routine correspondence, and any other relevant communications; in addition to follow-up on impending actions and deadlines, as required.
  • Provide information and guidance to hiring managers and candidates regarding the on-boarding requirements.
  • Assist in the creation of files and archiving of administrative documents in the SharePoint repository.
  • Provide statistics and generate reports as required.
  • Assists in other administrative duties when required, including evaluation, monitoring and reporting on a wide range of HR related issues.
  • Develop an inventory of documentation to be retained, recording them in the office repository.
  • Perform any other functions as requested by the supervisors.

Qualifications/special skills

To qualify for an internship with the United Nations Internship Programme, applicants must meet one of the following requirements:

  • Be enrolled in, or have completed, a graduate school programme (second university degree or equivalent, or higher); or,
  • Be enrolled in, or have completed, the FINAL academic year of a first university degree programme (minimum bachelor’s level or equivalent).
  • Be computer literate in standard software applications, including Excel.
  • Have a demonstrated keen interest in the work of the United Nations and have a personal commitment to the ideals of the Charter
  • Have demonstrated the ability to successfully interact with individuals of different cultural backgrounds and beliefs, which includes willingness to try and understand and be tolerant of differing opinions and views.
  • Educational background or exposure to human resources, public administration or related issues is desirable.

Languages

  • English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required. Knowledge of another official United Nations language is an advantage.
