UNHCR, the UN Refugee Agency, is offering a full-time internship with the Programme Unit at the UNHCR Country Office in Warsaw, Poland.
Established in December 1950, UNHCR is a global organization dedicated to saving lives, protecting rights and building a better future for asylum seekers, refugees, returnees, internally displaced communities and stateless people. Every year, millions of men, women and children are forced to flee their homes to escape conflict and persecution. UNHCR currently operates in over 130 countries, using its long expertise to protect and care for millions.
Organizational context
UNHCR’s main objectives in Poland are to monitor access to territory and reception conditions as well as advocate for an efficient and protection-sensitive asylum system and related policies. UNHCR also aims to improve durable solutions such as local integration opportunities and increase public awareness of refugees and asylum issues. UNHCR works closely with both governmental and non-governmental organisations in Poland to achieve these objectives.
The Programme Unit, where this internship is located, is the unit in charge of managing the implementation modalities through which UNHCR delivers its protection mandate in Poland. Following the identification of protection gaps that affects the full access to basic rights and essential services to refugees in Poland, UNHCR designs interventions in collaboration with partners, civil society, the Government, and persons of concern themselves to address those protection gaps. The Programme team facilitates these processes and manages the required resources (Operations budget) to operationalize the expected protection interventions. In doing so, UNHCR engage with the best-fit organizations, selected following a competitive process, through the signature of Partnership Agreements. The Programme Unit manages these agreements and closely follow-up implementation, through periodic monitoring and revision of reports submitted by partners.
Undertaking an internship opportunity within the Programme Unit will enable the selected candidate to understand how UNHCR protection mandate is operationalized in practice, from the identification of needs of refugees, to the designing and planning of targeted interventions, to its implementation in practice and how successful those interventions were in achieving expected results. The selected candidate will see how theory is being put in practice and the efforts behind the materialization of UNHCR’s mandate. The selected candidate will see how UNHCR negotiates and manages specific interventions with partners and the challenges the organization faces in terms of resources and others.
The position
Under the supervision and guidance of the Senior Programme Officer and his most senior staff, the selected candidate will have a support role to the Programme team in a variety of regular programmatic tasks including:
Duties and responsibilities
• Supporting the planning exercise (2024-2025)
• Supporting the closure of finalized partnership agreements 2023 and backwards.
• Ensuring that mandatory required files for Partnership Agreement are properly uploaded in UNHCR’s on-line repository of documents.
• Prepare synopsis documents of all partnership agreements in 2024 in a summarized, easy-to-read format.
• Support monitoring activities with the preparation of monitoring templates (PMC-02) prior to undertaking monitoring visits.
• Prepares a consolidated calendar of expected monitoring visits throughout 2024.
• Liaises with IM Unit to verify the creation of a consolidated repository of all indicators expected from partners and reflected in Project Workplan
• Support the bi-weekly preparation of Situation Report (SitRep) on the most relevant activities undertaken within the Programme Unit.
• Supports the revision and order of on-line Programme Files and documents in TEAMS folders.
• Supports the preparation of minutes of relevant meetings, highlighting most relevant discussed points and follow-up actions.
• Supports and participates as part of the Programme team in participatory assessments to be organized by Protection Unit.
• Prepare a standard Power Point presentation on the work of the Programme Unit to be used during high-level visits.
Minimum qualifications required
In order to be considered for an internship, candidates must meet the following eligibility criteria:
• Be either a recent graduate (having completed their studies within two years of applying) or a current student in a graduate/undergraduate school programme from a university or higher education facility accredited by IAU/UNESCO; and
• Have completed at least two years of undergraduate studies in a field relevant or of interest to the work of UNHCR.
NOTE: An individual whose father, mother, son, daughter, brother or sister is a staff member of UNHCR, including a Temporary Appointment holder or a member of the Affiliate Workforce, is not eligible for an internship.
Desirable qualifications and skills
• Full proficiency of English language, both written and spoken.
• Good knowledge of Polish language is desirable
• Good writing skills with the ability to draft inputs in a summarized and concise way
• Organized, results-oriented and proactive person
• Eager to learn and work in a team-friendly and multinational environment
• Excellent command of MS tools, including word, excel and power point
• Knowledge of designing tools to produce visual-attractive documents will be a plus
It is a full-time role with working hours starting from 8.30 am to 16:30 pm Monday to Friday. The successful candidate will be assigned to support the team in Warsaw, Country Office .
Allowance: Interns who do not receive financial support from an outside party will receive an allowance to partially help to cover the cost of food, local transportation and living expenses.
