Position description

Under the supervision of the Chief of Staff, the Coordination Consultant is responsible for providing support to the Chief of Staff and their team through the coordination, administration and execution of a variety of activities and transactions to ensure the efficient flow of information and communication to and from the office of the Chief of Staff, to facilitate timely action and decision making, arranging and scheduling meetings and events; and collecting, verifying and organizing information, materials and documentation for the Chief of Staff’s easy access and use. The support from a consultant is required to establish an administrative structure and corresponding practices for the Chief of Staff’s office, as well as the UN Women policies, and oversee their implementation.

Duties and Responsibilities

Description of Responsibilities /Scope of Work

Provide coordination and support services to CoS’s office:

  • Identify, develop, design and distribute relevant internal inputs to optimize internal office workflows.
  • Provide coordination and technical support to the preparations of the different workstreams associated with events.
  • Play a pivotal role in the strategic support, planning, organization, and execution of a diverse range of activities with a global scope such as webinars, annual meetings, retreats, workshops, and conferences, also involving extensive liaison with internal and external stakeholders, such as UN entities, Member States, academia and others.
  • Interface with procurement unit overseeing and ensuring appropriate processes are undertaken to engage CoS’s office requests.
  • Knowledge building and sharing with regards to management and operations in the section, synthesis of lessons learnt/best practices, and sound contributions to strengthen unit’s capabilities and workflows.
  • Contribute to knowledge building and sharing initiatives related to the management and operations within the section.
  • Contribute to CoS’s office events planning by developing and sharing tools and mechanisms to timely monitor the execution of tasks across the different workstreams.

 

Provide strategic support to CoS’s Office:

  • Ensure meticulous compliance with established policies for all materials submitted for the Chief of Staff’s consideration. This involves a rigorous review process to guarantee accuracy and completeness, while also ensuring adherence to correct reporting procedures.
  • Ensure effective preparations, support for and follow-up to meetings of the Chief of Staff with senior representatives of Member States, senior officials of the UN system.
  • Routinely provides oversight and Support to operations colleagues in the EDO.
  • Provide Oversight of the flow of correspondence addressed to and originating from CoS office.
  • Manage the provision of goods and services following established procurement corporate procedures regarding sub-contact review and award of contracts, evaluating cost effectiveness, and managing negotiations in connection with agreements as necessary.
  • Contribute technically to the planning, expenditure tracking and auditing of financial resources in accordance with UN Women rules and regulations and policies and strategies.
  • Provide any other support as requested by the Chief of Staff.

Required Skills and Experience

Education and Certification:

  • Master’s degree or equivalent in political science, social science, public administration, international studies, economics, engineering, earth sciences or a related field is required.
  • A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.

Experience:

  • A minimum of 7 years of progressive administrative experience preferably in a large or international corporation or organization.
  • Experience with senior level officials in the UN with a thorough knowledge of UN operations, structure and administrative procedures is a distinctive advantage.
  • Experience working in the UN system is an asset.

Languages:

  • Fluency in English
  • Knowledge of the other UN official working language is an asset
